Office Coordinator
Location: McAllen, TX
Schedule: Monday – Friday, 8:00 am – 5:00 pm (unless there is a state survey)
Hourly Rate: $14.15 hourly
The Office Coordinator supports daily operations by organizing departmental workflow, maintaining filing systems, and providing administrative support to both staff and management. This role involves balancing multiple priorities with strong attention to detail and a high level of professionalism.
Key responsibilities include:
Coordinating work, schedules, and duties for department staff
Maintaining both physical and digital filing systems, including charts, Drill Binders, and TFR Binders (with reconciliation)
Assisting with onboarding and maintaining employee records
Managing incoming and outgoing mail, emails, and phone calls
Performing data entry, processing invoices and notes, and supporting accounts payable functions
Greeting and assisting visitors and clients
Providing general administrative support, including making copies and preparing documents
Assisting with contracts, proposals, and department reports
Coordinating building maintenance, office equipment needs, purchasing, and space planning
Organizing department meetings, trainings, and events
Supporting HR functions such as interviewing, orientation, training, and performance evaluations as needed
Performing timekeeper duties and helping maintain payroll accuracy
Associate's degree in a related field
2–3 years of administrative support experience or a combination of education and experience
Strong organizational skills and attention to detail
Ability to multitask and meet deadlines in a fast-paced environment
Excellent communication and interpersonal skills
Reliable, responsible, and committed to high-quality work
