Overview
We are seeking a dynamic and highly organized Personal Assistant to join our team and support executive leadership with a wide range of administrative and operational tasks. Duties
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Handle correspondence via email, phone calls, and written communication with professionalism, courtesy, and promptness.
- Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents and records.
- Prepare reports, presentations, and documents through proofreading, transcription, data entry, and document formatting to ensure accuracy and clarity.
- Assist with event planning for company functions, meetings, or client engagements by coordinating logistics, managing RSVPs, and overseeing event setup.
- Support bookkeeping activities using QuickBooks or similar accounting software by tracking expenses, invoicing clients, and managing petty cash.
- Oversee office management tasks such as ordering supplies, managing front desk duties including multi-line phone systems and customer service interactions.
- Facilitate project coordination efforts by tracking deadlines, preparing agendas, taking meeting minutes, and following up on action items.
- Utilize office software tools like Microsoft Office Suite (Word, Excel, PowerPoint) to create professional documents and presentations.
- Conduct proofreading to ensure all communications are polished and error-free while maintaining a high standard of professionalism.
- Perform data entry tasks accurately into various databases or management systems while maintaining confidentiality.
- Provide executive administrative support by handling confidential information discreetly and efficiently managing priorities as they arise.
Qualifications
- Proven experience as a Personal Assistant or in an administrative role with a strong background in office management or executive support.
- Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Calendar), and familiarity with DocuSign for electronic signatures.
- Strong typing skills coupled with excellent proofreading and transcription abilities to produce error-free documents swiftly.
- Experience using QuickBooks or similar bookkeeping software for basic financial tasks such as invoicing or expense tracking.
- Excellent phone etiquette with experience managing multi-line phone systems; capable of handling customer service interactions professionally.
- Demonstrated ability to coordinate projects from inception to completion while adhering to deadlines.
- High level of computer literacy with familiarity in data entry systems; capable of learning new software quickly.
- Outstanding communication skills—both written and verbal—and the ability to interact effectively with diverse stakeholders.
- Prior experience supporting executives or high-level professionals is preferred but not required; relevant office experience is essential.
