Position Summary
The Human Resources Assistant provides administrative and operational support to the Human Resources department within an outpatient mental health clinic. This position helps ensure smooth HR functions, supports staff onboarding and credentialing, maintains compliance with regulatory standards, and assists in fostering a positive, organized, and professional workplace culture. The HR Assistant works closely with clinicians, administrative staff, and leadership.
Key Responsibilities1. Recruitment & Onboarding
- Assist with posting job advertisements on approved platforms.
- Schedule interviews and communicate with applicants throughout the hiring process.
- Prepare onboarding materials and facilitate new-hire orientation.
- Collect and track required documents such as licensure, certifications, background checks, and references.
- Maintain accurate personnel and credentialing files in compliance with clinic policies and accreditation standards.
2. Employee Records & Compliance
- Maintain confidential employee records, ensuring files are complete, up-to-date, and compliant with state, federal, HIPAA, and accreditation (e.g., CARF, Joint Commission) requirements.
- Track and monitor expiration dates for staff licensure, CPR/First Aid certifications, mandatory training, and continuing education.
- Prepare compliance reports for leadership as needed.
- Support audits by ensuring HR documentation is readily available and accurate.
3. Staff Support & Communication
- Serve as a point of contact for routine HR questions regarding policies, procedures, and workflows.
- Help coordinate staff recognition programs, wellness initiatives, and team-building activities.
- Communicate policy updates and reminders to staff in a clear, professional manner.
- Maintain confidentiality and demonstrate sensitivity to staff needs, especially in a clinical behavioral-health setting.
4. Training & Development Support
- Assist with scheduling mandatory and voluntary trainings for clinical and administrative staff.
- Track training completion and follow up with employees to ensure regulatory compliance.
5. General Administrative Support
- Prepare HR-related correspondence, reports, and documentation.
- Perform data entry, scanning, and file management.
- Assist with HR projects such as policy updates, process improvements, and staff onboarding efficiencies.
- Support leadership with other duties as assigned.
Qualifications Education & Experience
Associate's or bachelor's degree preferred.
Knowledge, Skills & Abilities
- Understanding of basic HR principles and employment regulations.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to maintain strict confidentiality of sensitive staff and client information.
- Attention to detail and accuracy in documentation.
- Ability to work collaboratively with clinical and administrative teams.
- Proficiency with Microsoft Office Suite; comfort learning new software systems.
Work Environment
- Outpatient mental health clinic setting with interdisciplinary staff.
- Requires frequent computer use, documentation, and communication.
- May require occasional support for special events, meetings, or trainings.
Pay: From $14.00 per hour
Expected hours: 40 per week
