The J. Hansen HVAC Group Inc. is in search of a Service Administrator who will work with our Supervisors and Technicians to ensure that customers needs are maintained. The successful applicant will be a self-motivated individual with excellent organizational and communication skills. The successful candidate must be customer focused, analytical, and detail-oriented with an understanding of sales tax, purchase orders, and work orders. With their technical and organizational expertise, they will play a key role in enhancing our corporate image and reputation.
Duties and Responsibilities:
- Answer incoming calls, collect information, distribute information to the Operations team
- Create and maintain customer accounts
- Process credit card transactions
- Open new work orders using the ERP system
- Issue Purchase Orders related to service jobs and asset maintenance
- Receive inventory purchased for jobs and asset maintenance
- Create new and manage existing service contracts using the ERP system
- Permit administration as required
- Invoice completed service jobs using the ERP system
- Ensure that business activities are conducted within the Company code of conduct and in a professional manner with the highest degree of quality
- Promote teamwork among the various functions of the office and the company to ensure long-term success of the business
- Assist supervisors with other administrative duties as assigned
Skills and Requirements:
- High School Diploma required; Diploma or Degree in Administration or Operations is a plus
- Attention to detail with excellent analytical skills
- Very well organized and able to multi-task
- Proficiency with Microsoft Office Suite; Intermediate Excel experience required
- Experience with accounting systems and reporting tools
- Experience working in a cross-functional environment and interacting with multiple departments and all levels of the organization
- Strong business knowledge and able to handle confidential information appropriately
