We are now accepting applications to fill the permanent position of Manager Administrative Assistant. This position will be scheduled to work 40 hours/week, Monday to Friday.
Position Overview:
The Manager's Assistant (MA) works under the direction of the Manager and in consultation with Leadership Team members. The MA works within the broad framework of Dale Brain Injury Services (DBIS) mission, philosophy, policies, standards, procedures and systems. They are responsible for providing high quality, effective and efficient administrative support in day-to-day operations. The MA will be expected to demonstrate skills relating to respectful and efficient customer service, first level problem solving, cooperative teamwork, accurate data entry and identification and participation in process and program design.
The Ideal Candidate:
- A degree or diploma in Office Administration or similar discipline from a recognized educational institution. Other post-secondary diplomas or degrees may be considered with experience.
- Previous experience and demonstrated proficiency in office administration, data management/record keeping, clerical and administrative support in a service-related capacity.
- High proficiency and working knowledge of office productivity software, including word processing, computer graphics, presentation and database applications.
- Demonstrated proficiency in computer-based data management, including advanced capabilities using MS Excel and MS Word
- Ability to competently operate and provide support to others in the use of office equipment and various office technologies.
- Good familiarity with common social media applications within a professional and/or marketing context.
- Highly effective interpersonal communication skills and customer service focus to establish and maintain positive relationships with clients, staff, visitors, caregivers, community partners, vendors and others who engage the organization.
- Strong written communication skills, including the ability to record and transcribe meeting minutes and recordings.
- Demonstrated effectiveness with organizational, time management skills and detail orientation.
- Demonstrated ability to work effectively independently as well as in a team setting.
Successful Candidates will also have:
- Effective oral and written communication skills
- Prior experience using business-critical information database systems.
- Demonstrated skill in process development and improvement.
Mandatory Requirements:
- Be able to provide a clear Police Vulnerable Sector Check (PVSC) completed in the last 6 months
- To be eligible to apply, you must have a Social Insurance Number and/or a valid work permit
- Must have reliable transportation to work

Represent DBIS publicly in a professional manner at all times. Participates in training sessions and development opportunities to increase work related skills & knowledge. Maintains workplace confidentiality at all times. Ensures that interactions with clients are therapeutic and supportive as appropriate to the position. Maintains appropriate and accurate records according to accepted standards and practices.
Hours of Work:
As a member of the administrative team, the successful candidate will work on-site in the business office during regular business hours and may be required to attend other sites on occasion as circumstances dictate. Hours of work and work assignments may vary depending on the operational needs of the program.
