Role Description

This is a full-time, on-site Administrative Assistant role located in Grand Rapids MI. The Administrative Assistant will be responsible for providing essential clerical and administrative support. This position greets clients and opens the office each morning. This role keeps our daily workflow running smoothly by preparing materials for events, maintaining communication platforms, and supporting client servicing teams. Responsibilities include organizing documents, scheduling appointments, and performing general office duties to ensure smooth operation of daily business activities. The ideal candidate enjoys multitasking, has strong communication skills, and is comfortable juggling schedules, mailings, and CRM updates.

Desired Qualifications

  • Previous experience in an administrative, client service, or office management role
  • Exceptional phone etiquette and communication skills to manage calls and interact professionally with clients and team members
  • Excellent organizational, time-management, and problem-solving abilities
  • Strong written and verbal communication skills for client outreach and internal coordination
  • Proficiency with customer relationship management (CRM) systems and communication tools; familiarity with platforms like Rise, MyRepChat, or similar software is a plus
  • Proficiency in common office software and technology, including Google Business Suite
  • Experience in the finance or insurance industry a plus
  • High school diploma or GED equivalent required; additional certifications or education is a plus

Schedule

This is a fullโ€‘time position with standard office hours between 8:45 AM and 4:45 PM, Monday through Friday times a month, evening hours are required and you would have those mornings off. This usually looks like a 12 PM - 8 PM work day.

This position does require some traveling for seminars in the evenings. We service the Greater Grand Rapids & Western Michigan areas. Travel typically is 1 hour or less one way. We do have a mileage reimbursement policy.

Compensation

This is a salaried position with an annual compensation range of $38,000 to $45,000, commensurate with experience.
