Position Summary

Reporting directly to the Owner, the Operations Manager / Executive Assistant will handle day-to-day coordination across all companies, support the owner in decision-making, manage the administrative team, and take increasing responsibility for contracts, financial oversight, and operational improvements. This is a high-visibility, high-trust role designed for someone who wants to learn every aspect of the business and advance quickly.

Key Responsibilities

  • Act as the central hub for communication and task follow-up across all companies
  • Manage and develop the administrative team at DCM Butler and assisting Controller (bookkeeping, payroll, HR, office management – currently 2-3 people)
  • Review incoming proposals, bids, and contracts, flag issues and coordinate with outside counsel or owner
  • Draft basic contracts, LOIs, NDAs, change orders, and transmittal letters using templates
  • Track project financials, cash flow, and budgets; help prepare monthly financial summaries for the owner
  • Oversee accounts payable/receivable workflow and banking relationships
  • Improve and document internal processes (file organization, software use, checklists, etc.)
  • Schedule and prepare materials for owner meetings with clients, lenders, partners, and staff
  • Handle insurance renewals, compliance filings, and basic risk-management tasks
  • Manage company software tools (Sage 100 Contractor, Microsoft Business Suite Procore/Deltek, Google Workspace, etc.)
  • Assist the owner with strategic projects (new entity setup, hiring plans, marketing initiatives, etc.)
  • Step in as point person for key vendors or clients when delegated
  • Other duties as the businesses grow and your role expands

Required Qualifications

  • 3–8 years of professional experience in construction, architecture/engineering, real estate, or operations/administrative management
  • Bachelor's degree (business, finance, construction management, pre-law or related)
  • Master's in Business Administration preferred but not necessary
  • Microsoft Office Suite
  • Strong contract literacy – comfortable reading and summarizing AIA contracts, purchase agreements, leases, etc.
  • Solid financial basics: understanding P&L, balance sheets, job-cost reports, and cash-flow tracking
  • Proven ability to manage people and prioritize in a fast-moving small-company environment
  • Excellent written and verbal communication
  • Advanced proficiency in Microsoft Office/Google Workspace and Accounting Software (experience with Procore, Deltek Vision, Sage 100 Contractor or similar a plus)
  • Highest level of integrity and discretion – you will see everything

Compensation & Growth Path

  • Starting salary: $60,000 – $80,000 (depending on experience)
  • Annual performance bonus
