Schedule:
- Hours: Monday – Friday, 8:30 AM start time.
- Typical Shift Range: 8:30 AM – 3:30 PM / 8:30 AM – 4:30 PM, dependent on program assignment (OMT/MH). No evenings.
Position Overview
We are seeking a highly organized and compassionate Receptionist to be the first point of contact at our Community Mental Health Center (CMHC). Our center provides comprehensive behavioral health services, including Outpatient (OP) and Intensive Outpatient (IOP) programs, alongside a Methadone/OMT clinic.
This role requires proven experience working in a mental health or substance use front office setting and the ability to effectively multi-task in a fast-paced clinical environment.
Key Responsibilities
- Front Office Operations: Warmly greet and welcome patients/clients accessing our OP/IOP services; maintain a professional and welcoming reception area.
- Phone Management: Manage high-volume, multi-line phone calls, directing calls, taking detailed messages, and responding to general inquiries about our CMHC programs.
- Patient Flow & EMR: Efficiently manage the check-in and check-out process for both IOP and OP clients, verifying ID, scheduling appointments, and updating records directly in the Electronic Medical Record (EMR) system.
- Administrative Support: Provide support (data entry, filing, document prep) while successfully multi-tasking between phones and patient flow.
- Financial: Process patient/client payments and maintain accurate financial records.
- Confidentiality: Maintain strict confidentiality (HIPAA) and adhere to all clinic policies and ethical standards.
Required Qualifications
- Experience is REQUIRED in a front office/receptionist role within a mental health, substance use, or behavioral healthcare setting (e.g., CMHC, IOP, OP).
- Proven experience utilizing and navigating an Electronic Medical Record (EMR) system for check-in, scheduling, and documentation.
- Demonstrated ability to efficiently multi-task and maintain composure in a fast-paced environment.
- High school diploma or equivalent (Associate's degree preferred).
- Strong communication, organizational, and professionalism skills.
