About
Executive Assistant
Success Story Podcast | @scottdclary )
The Opportunity
I'm looking for a sharp, hungry Executive Assistant to work directly with me and my team as we continue scaling Success Story into one of the biggest media brands in business.
This isn't your typical EA role where you're booking conference rooms and ordering lunch. You'll be embedded in everything—podcast production, social media, video content, newsletter operations, sponsor coordination, and yes, the traditional EA stuff too. If you want to learn how media brands are built from the inside, this is the gig.
You'll have a front-row seat to how we create content that reaches millions, land major sponsors, and turn ideas into assets. I'm not looking for someone who just executes tasks—I want someone who pays attention, asks questions, and grows with us.
No experience required.
I don't care about your resume. I care about your willingness to learn, figure things out, and not shy away from stuff that sounds hard.
What You'll Be Doing
Calendar & Communication Management
- Own my calendar across Google Workspace and Outlook—scheduling podcast recordings, sponsor calls, speaking engagements, and travel
- Manage email correspondence and act as the first line of communication with guests, sponsors, and partners
- Coordinate travel logistics for podcast interviews, conferences, and business meetings
Content & Media Support
- Support podcast production workflow—guest coordination, prep doc organization, episode scheduling
- Assist with social media content management and posting schedules across platforms
- Help coordinate video content production and asset organization
- Support newsletter operations (Success Story Newsletter, 4IR Daily AI News)
Project Coordination
- Track deliverables across multiple projects and ensure nothing falls through the cracks
- Coordinate with team members, contractors, and external partners
- Manage sponsor campaign timelines and deliverables
- Assist with event planning for live recordings, meetups, and conferences
Administrative & Operations
- Handle invoicing, expense tracking, and basic bookkeeping (QuickBooks or similar)
- Maintain organized systems for contracts, assets, and documentation
- Draft, proofread, and edit documents as needed
- Manage general office operations and day-to-day logistics
What I'm Looking For
No experience necessary.
Seriously. If you're willing to learn, I'll teach you everything.
What matters:
- You're organized and pay attention to details
- You communicate clearly—written and verbal
- You're comfortable with technology and can figure out new tools quickly
- You're proactive—you see problems and fix them without being asked
- You don't get overwhelmed when things move fast
- You're not afraid to ask questions or admit when you don't know something
- You actually want to learn—even the stuff that sounds hard or unfamiliar
Bonus if you're curious about:
- Podcasting, media, and content creation
- Social media and how audiences are built
- Business, startups, and entrepreneurship
What You'll Get
- Direct access to how a top-tier media brand operates
- Learn content strategy, podcast production, sponsor relations, and audience growth firsthand
- Work closely with me and the team—your ideas will be heard
- Opportunity to grow your role as we scale
