Job Overview
The Program Coordinator, Innovative Programs (IP) provides programmatic, organizational, and administrative support to the Innovative Programs department across key operational areas, including recruitment, marketing, admissions, event production, curriculum management, faculty coordination, finance, and data systems.

The Program Coordinator also supports the implementation of process improvements and delivers excellent year-round service to the Innovative Programs Director, Artist Development, IP Staff, program participants, instructional staff, and industry partners. This role requires strong partner-relations skills and the ability to cultivate and maintain productive relationships.

Principal Duties:

  • Support the Director, Artist Development, and Program Liaison in the day-to-day operation of the IP department and provide project-based support to existing and future courses, programs, and events.
  • Coordinate and support all IP events and classes throughout the year, including managing calendars, departmental scheduling, meetings, communications, and events logistics.
  • Support IP program application processes, including selection, promotion, production, and applicant communications, and ensure all procedures are well-documented and aligned with established guidelines.
  • Serve as a primary point of contact for IP program participants and personnel, as well as for other AFI departments; assist with tracking workshop production elements, managing production accounts, and ensuring timely project delivery for class projects.
  • Support annual IP Program Showcases and special events, including DWW+ and CIW. Responsibilities include tracking event elements such as catering, décor, contracts, creative assets, signage, invitations, guest lists, and providing overall production support.
  • Collaborate with IP staff on curriculum needs; serving as a communication liaison for faculty by scheduling and confirming classes, coordinating outreach to potential faculty, speakers, and program advisors, and assisting with craft services as needed.
  • Participate in initiatives that support IP alumni through post-workshop professional opportunities and AFI bridge programs, as appropriate.
  • Develop and manage IP department databases and digital servers and support the build-out, implementation, and maintenance of new IP data systems for admissions, programs, events, faculty, alumni, industry, and partner contacts.
  • Support IP partnership prospecting, contract development, and fulfillment, as assigned.
  • In collaboration with the IP Staff and AFI Marketing, manage social media presence for additional IP programs.
  • Participate in classes, workshops, promotions, and special projects for IP programs, as well as conduct research and support department initiatives.
  • Assist IP managers and directors with established financial systems, including tracking departmental expenditures, supporting budget preparation, monitoring budgets, and preparing purchase orders, reimbursements, and check requests.
  • Organize and execute departmental communications, surveys, digital file management, program wraps, and archiving workflows.
  • Perform other duties and responsibilities as assigned.

Experience/Skills Required:

  • Bachelor's degree required, preferably with a concentration in film, television, or other media production.
  • Minimum three years of experience in the filmmaking community; real-world production experience is a plus.
  • At least two years of experience in program and/or event planning and coordination, and/or executive assistance within the entertainment industry.
  • Exceptionally detail-oriented with a demonstrated ability to manage multiple tasks, ensuring timely follow-up and accurate reporting while maintaining a strong grasp of goals.
  • Excellent oral and written communication skills, with the ability to convey complex concepts and procedures into clear language.
  • Strong project and time management skills, with strong organizational and multitasking skills; ability to work both independently and collaboratively as part of a high-performing team with minimal supervision.
  • Advanced computer proficiency, including Word, Excel, PowerPoint, Outlook, Teams, Zoom, and CRM databases in a Macintosh environment.
  • Curious and enthusiastic for developing digital solutions that improve project management, scheduling, data management, and workflow efficiencies.
  • Strong diplomacy and professionalism with the ability to consistently maintain confidentiality and exercise sound judgment.

Pay: $ $30.25 per hour
