Job Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative, organizational, and communication skills, along with experience in office management, human resources, and vendor relations. This role requires a versatile individual capable of managing multiple tasks such as scheduling, bookkeeping, event planning, and team supervision to support our company's goals and growth.

Duties

  • Manage daily office operations including front desk responsibilities, filing, and handling multi-line phone systems.
  • Oversee calendar management for staff and executive schedules, coordinating meetings and appointments efficiently.
  • Supervise administrative staff and provide training & development opportunities to enhance team performance.
  • Handle vendor management, including negotiating contracts and maintaining professional relationships with suppliers.
  • Oversee bookkeeping tasks such as invoicing, expense tracking, and basic budgeting using QuickBooks or similar software.
  • Manage human resources functions including payroll processing, employee records, onboarding, and compliance.
  • Plan and coordinate company events, meetings, and special projects to foster team engagement.
  • Maintain accurate records through filing systems and ensure confidentiality of sensitive information.
  • Provide excellent communication and phone etiquette to clients, vendors, and staff at all times.
  • Support medical office management if applicable, including appointment scheduling and patient record organization.

Experience

  • Proven experience in office management or administrative roles with a strong background in clerical and organizational tasks.
  • Supervising experience with demonstrated ability to lead teams effectively.
  • Familiarity with QuickBooks or similar accounting software for bookkeeping and payroll processing.
  • Experience in event planning, vendor management, budgeting, and human resources functions preferred.
  • Strong communication skills with the ability to handle front desk duties and multi-line phone systems professionally.
  • Knowledge of medical office management is a plus but not required.
  • Demonstrated organizational skills with the ability to manage multiple priorities efficiently.
  • Prior experience in training & development within an office environment is desirable. This position offers an opportunity to play a key role in maintaining an efficient office environment while supporting company growth through effective management practices.

Pay: $ $26.00 per hour

Expected hours: 20.0 – 40.0 per week
