Job SummaryMission
This position manages and processes reservations for National Park Service programs (Education and Interpretation) serving as the point of contact for inquiries via phone and email. Reservations may also include ticketed activities (tram, movie, riverboat cruise) and/or an on-site meal. Additionally, this position supports the Group Sales Department in promoting the destination and its attractions to schools, group tour operators, travel planners, and other tourism partners.
Essential Outcomes- Ensure a seamless experience for visiting educational groups and other groups by supporting sales initiatives, coordinating reservations, and providing exceptional service
- Organize highly detailed reservation information in order to clearly understand and describe the logistics of all aspect of various group itineraries including arrival and departure.
- Assist the Tourism Sales Manager in developing and maintaining relationships with educational intuitions, domestic and international tour operators, group leaders, and travel agents.
- Respond to inquiries regarding education program availability, group pricing, itineraries, and reservations.
- Serve as a group sales coordinator for all markets to generate education and group reservations for the various program and event offerings at Gateway Arch National Park.
- Track and process payments, invoices, and other sales documentation.
- Maintain accurate records of leads, contacts, and bookings in the CRM system.
- Communicate with internal departments including ticketing, operations, and food & beverage to ensure all group details are confirmed and executed smoothly.
- Handle orders by phone or email and verify that orders have the correct details including program date/time, ticketed activity pricing, and number of attendees.
- Input orders and change orders, ensuring they are processed according to customer requirements, and ensure all orders are accurate and delivered on time.
- Develop and/or maintain filing systems for reservation/sales records, prepare reports, and provide financial information as needed.
- Support the coordination of group schedules, bus arrivals, and special requests to provide an efficient and welcoming guest experience.
