Position Summary
The Inside Sales Representative is responsible for supporting the sales process by managing customer inquiries, preparing quotes, maintaining project data, and collaborating with multiple departments to ensure seamless customer service and order fulfillment. This role plays a key part in maintaining efficient communication, data accuracy, and overall sales effectiveness within Holliday Rock's Ready Mix and Asphalt divisions.
Key Inside Sales Responsibilities
Core Sales & Customer Tasks
- Handle Inside Sales Calls – Respond promptly to customer inquiries via phone or email; coordinate orders with dispatch, operations, and outside sales.
- Prepare and Manage Quotes – Assist Outside Sales in researching project details, gathering information, and generating accurate, timely quotes to support sales efforts.
- Maintain Sales Cycle – Track active projects, backlog, and customer follow-ups through Salesforce to ensure visibility and continuity.
- Manage AB219 Projects – Administer contracts, compliance, and job setup for AB219 projects.
- Complete Daily Exception Report (by 10:00 AM) – Verify order accuracy, pricing, and delivery details for proper billing.
- Work with Credit & Billing – Resolve invoice discrepancies quickly and ensure customers receive accurate invoices.
- Research and Assign Public Works Projects – Identify and distribute public works bidding opportunities weekly to drive new sales leads. Actively call on projects to determine bidders, quantities, and other relevant details.
- Collaborate Cross-Functionally – Partner with operations, dispatch, technical services, and credit to ensure smooth execution of orders and exceptional customer satisfaction.
Support & Continuous Improvement
- Support Outside Sales & Management – Provide data, research, and quoting support to help achieve sales objectives.
- Maintain Customer Communication – Manage ongoing customer requests including submittals, certificates of insurance (COIs), and service coordination.
- Contribute to Team Improvement – Participate in meetings, provide process feedback, and help strengthen customer service and contract workflows.
Additional Team Focus Areas
If additional Inside Sales team members are added, their focus will be on three primary areas:
- Writing Quotes – Generating 120–150 quotes per week in approximately 20 hours, which would reduce overall quote volume by 50–60% and free up Sales Representatives for more field engagement.
- Maintaining the Sales Cycle – Tracking projects and cleaning data within Salesforce to ensure data integrity and process accuracy.
- Calling on Greens – Researching and contacting bidders for approximately 38 green projects per week. Each research cycle takes about 30 minutes, totaling around 19 hours weekly.
Any remaining time may be spent cleaning, analyzing, and improving Salesforce data and supporting ongoing business development initiatives.
Qualifications
- 2+ years of experience in inside sales, customer service, or related roles, preferably in the construction materials industry.
- Strong organizational and communication skills with attention to detail.
- Proficient in Salesforce or other CRM systems; experience with Salesforce preferred.
- Knowledge of AB219 and public works compliance is a plus.
- Ability to multitask and collaborate effectively with cross-functional teams.
- Valid Class C driver's license with a clean driving record.
