Job Summary
We are seeking a detail-oriented and professional Office Assistant / Customer Service Coordinator to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer support, and maintaining efficient administrative processes. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with office management tools to support our daily functions and enhance client satisfaction.

Duties

  • Manage front desk operations, including greeting visitors and answering phone systems with professionalism and courtesy
  • Handle incoming calls, direct inquiries, and provide exceptional customer service support
  • Maintain accurate data entry and filing systems using Quickbooks, Google Workspace, and other relevant software
  • Process invoices, perform basic bookkeeping using QuickBooks, and manage office supplies inventory
  • Proofread documents for accuracy and clarity before distribution
  • Support office management tasks such as organizing files, preparing reports, and maintaining office equipment
  • Provide administrative assistance as needed to ensure efficient daily operations
  • Support customer support efforts by responding promptly to inquiries and resolving issues effectively

Requirements

  • Proven experience in office management, clerical work, or administrative roles with a focus on customer service
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, and typing skills
  • Experience with QuickBooks or bookkeeping is preferred
  • Excellent phone etiquette with experience managing phone systems
  • Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Attention to detail in proofreading documents and managing records accurately
  • Ability to work independently while collaborating within a team environment
  • Reliable, punctual, and professional
  • Valid Drivers License

Hours:

  • Monday–Thursday: 8:00 AM – 5:00 PM
  • Friday: 8:00 AM – 4:30 PM
