Position Title: Human Resources Assistant
Location: Markham, Ontario
Job Type: Full-time, Permanent, On-site

General Function:
This role oversees the full recruitment lifecycle in UKG to include job postings, candidate screening, background checks, offer letters, and timely candidate and stakeholder communication while also managing compliant offboarding processes. Maintaining accurate employee records, verifies and uploads training and certification documentation, and manages the HR inbox daily. This position ensures compliance with employment laws, contributes to HR reporting on key workforce metrics, and supports strategic HR initiatives such as performance reviews, engagement surveys, and culture building projects.
- Recruitment Life Cycle:
- Lead and manage the complete recruitment lifecycle within the UKG system, encompassing the creation and posting of job requisitions, screening of candidate resumes (as applicable), coordination of background checks, preparation of offer letters, and facilitation of all candidate communications.
- Ensure timely follow-up with candidates, hiring managers, and relevant stakeholders within a strict 24-hour response window to maintain a high standard of engagement and efficiency.
- Verify and upload all required hiring documents and employee records into UKG, ensuring compliance with Quality Management System (QMS) standards.
- Research and coordinate participation in job fairs and recruitment events, providing logistical support and ensuring effective representation of the business.
- Offboarding:
- Administer offboarding processes by coordinating the retrieval of company property and access credentials, and ensuring the completion and documentation of all termination-related forms to meet QMS standards
- HR Administration:
- Maintain and update employee records, with a specific focus on tracking training completions, certifications, and compliance-related documentation. All training and certifications are to be verified and uploaded within a 24-hour timeframe to align with QMS standards.
- Monitor the HR inbox daily, triage messages, and ensure all inquiries are categorized and responded to within a 24-hour period to support timely communication and issue resolution.
- Compliance and Reporting:
- Maintain strict adherence to federal, state, and local employment laws and internal regulatory requirements by ensuring HR documentation, systems, and practices meet all compliance obligations.
- Contribute to the development and generation of regular HR reports, including but not limited to metrics on employee turnover, headcount, diversity, and workforce trends, to support data-driven decision-making.
- HR Projects:
- Assist the HR Generalist with planning and executing strategic HR projects, including annual performance review cycles, employee engagement surveys, and initiatives aimed at improving workplace culture.
Knowledge and Experience:
- Certificate in Human Resources, Business Administration, or a related field; or an equivalent combination of education and relevant work experience.
- 3–5 years of experience in an HR or administrative role, with knowledge in HRIS systems and HR processes.
- Strong organizational and time-management skills
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to maintain confidentiality and handle sensitive information.
- Strong attention to detail and accuracy.
- Ability to work collaboratively and build relationships with colleagues
