To support this growth, we are seeking an adaptable and resourceful Operations and Administrative Coordinator to ensure smooth office, operational, and communication processes across our sites in Cambridge, MA and Oslo, Norway.

Role Summary

This is an exciting opportunity to gain broad exposure to the operational backbone of an early-stage biotech startup. You will manage diverse tasks and projects, ensuring critical processes run seamlessly. This role is perfect for someone eager to grow into a seasoned business operations professional.

Key Responsibilities

Executive Support

  • Provide administrative support to executives and senior managers, including scheduling meetings across Cambridge and Oslo sites.
  • Plan and execute offsite meetings, conferences, and Board of Directors meetings, including travel arrangements and expense reporting.
  • Prepare and organize documents, presentations, and reports while maintaining confidentiality.
  • Coordinate internal communications and assist with company-wide announcements.
  • Support leadership initiatives and ad hoc projects.

Operations & Compliance

  • Maintain and organize contracts, CDAs, and vendor onboarding documentation; ensure compliance and track timelines.
  • Assist with interview scheduling and new hire onboarding, including IT setup and technical provisioning.
  • Organize team collaborations, offsites, and all-hands meetings.
  • Manage visitor access and office logistics for Cambridge and Oslo sites.
  • Maintain internal filing systems and archive key documents in SharePoint.
  • Liaise with IT to manage laptops, software licenses, and access permissions.
  • Assist with website updates, postings, and content management.

Qualifications

Education:
Bachelor's degree in Science, Business Administration, Management, or related field (or equivalent experience).

Experience:
5+ years in administrative or office management roles, ideally in a fast-paced startup or biotech/pharma environment.

Skills:

  • Exceptional organizational skills and attention to detail
  • Tech-savvy with proficiency in Microsoft Office Suite, Zoom, and SharePoint
  • Strong written and verbal communication skills
  • Ability to interact professionally across all levels
  • Proactive problem-solving and ability to implement practical solutions
  • High integrity and discretion in handling confidential information
  • Adaptability and entrepreneurial mindset with a willingness to leverage technology for efficiency
