We partner with leading property owners, developers, and general contractors to deliver complex, high-quality projects on schedule and within budget. As we continue to grow, we are seeking a seasoned administrative assistant.

Role Overview:

Administrative Assistant Job Responsibilities

General Office Support

  • Provide administrative and clerical support to ensure efficient office operations.
  • Answer and direct phone calls, take messages, and forward messages in an efficient manner.
  • Greet and assist visitors in a professional and friendly manner.
  • Maintain office supplies inventory and order replacements as needed.
  • Manage incoming and outgoing mail, packages, and correspondence.

Scheduling & Coordination

  • Schedule and coordinate meetings and sales appointments
  • Prepare meeting materials, take minutes, and distribute summaries or follow-ups as requested.

Documentation & Record Keeping

  • Create, edit, and format documents, reports, and presentations.
  • Enter and maintain accurate filing systems for jobs in company shared drive, CRM, QB and physical files.
  • Maintain company WIP (Work In Progress) report.
  • File, track and follow permitting required to completion.
  • Handle confidential information with discretion and professionalism.

Accounting & Data Entry

  • Update and maintain CRM, company shared drive and QB in relation to customers and vendors.

Communication & Coordination

  • Serve as a liaison between employees, vendors, and clients.
  • Draft, proofread, and send correspondence on behalf of management.
  • Work with field supervisors to ensure permitting progress and work in progress updating.
  • Follow up on pending matters to ensure timely completion.

Other Duties

  • Perform other related duties as assigned to support the team and company objectives.
