The Operations & Administrative Services Manager is a manager-level role responsible for overseeing and optimizing the full operational, administrative, and compliance infrastructure of the company. This position manages the systems, processes, and documentation that support daily field operations, financial workflows, job lifecycle execution, and regulatory requirements. It is designed for an experienced professional capable of independently running the administrative backbone of a growing service-based organization.

Primary Responsibilities

  • Lead and manage all administrative operations, including scheduling, job routing, technician coordination, and workflow optimization.
  • Oversee payroll processing, timecard corrections, AP/AR support, billing accuracy, vendor invoicing, and financial documentation.
  • Manage contract creation, maintenance agreements, compliance documentation, permits, submittals, closeout packages, and credentialing.
  • Maintain company records, operating procedures, internal documentation systems, and quality-control processes.
  • Support tax document preparation, regulatory filings, audits, and company-level administrative requirements.
  • Develop, refine, and monitor administrative and operational systems to ensure efficiency and scalability.
  • Supervise administrative assistants, virtual assistants, and support personnel; assign tasks and review output.
  • Serve as a key operational liaison between ownership, field teams, vendors, and customers.
  • Recommend strategic operational improvements and long-term process enhancements.

Role Expectations

This is a manager-level position requiring strong technical knowledge of operations, compliance, scheduling systems, administrative management, and multi-department coordination. The ideal candidate is self-directed and able to assume full ownership of the company's operational workload while exercising sound judgment in financial and regulatory matters.

Required Qualifications

  • Bachelor's degree OR 5+ years of proven experience in scheduling, operations coordination, service dispatching, construction administration, or a related field.
  • Strong understanding of workflow management, administrative systems, and customer communication.
  • Ability to multitask and prioritize in a fast-paced, field-service environment.
  • High level of accuracy, organization, and follow-through.
  • Proficiency with scheduling software, project management systems, or service platforms
  • Valid driver's license and reliable transportation.
  • Must pass a background check.
  • Strong written and verbal communication skills.
