Job Information

Job Summary:
The Temporary Events Associate provides administrative and programmatic support to the Events Team. This position is expected to last six months.

Responsibilities:

  • Assist Events team with short-term, ad hoc, and long-term project and in-person, virtual, and hybrid events.
  • Learn and optimize the online event registration system, Cvent.
  • Maintain event resources such as online forms, research and tracking of event venues, and vendors lists.
  • Organize logistics for meetings and events such as reserving rooms and catering, AV/tech set up, agenda distribution, parking, room setup, name tents and badges, meeting materials, etc.
  • Assist with the creation and production of nametags and registration lists.
  • Provide onsite assistance at designated events.
  • Utilize data management tools including look up, tracking, and reporting.
  • Order, prepare, and pack/ship event materials for events locally and internationally.
  • Create basic event briefings for key staff and event-related communications for speakers and participants.
  • Coordinates invoices and vendor payments, tracks expenses, and maintains event budgets.
  • Provide pre-event in-office support.
  • Other administrative duties as required.

  • Outstanding verbal, written, with an attention to grammar and spelling, and presentation skills.
  • Excellent time management, organizational skills, attention to detail, basic math and finance skills.
  • Ability to work independently.
  • Possess personal accountability and a self-motivated disposition.
  • Ability to handle multiple detailed tasks/projects simultaneously and meet strict deadlines with frequent interruptions.
  • Professional demeanor, including tact, discretion, and a customer service-oriented approach.

Additional Responsibilities

Education, Experience, or Certifications:

Education:

  • Bachelor's degree required.

Experience:

  • A minimum one year of event support and coordination experience preferred.

Technical Knowledge or Skills:

  • High proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required.
  • Experience working with event registration platforms, Cvent preferred.
  • Salesforce experience preferred.

Working Conditions and Physical Requirements:

  • This position is currently expected to work a minimum three days per week in the office.
  • In-person presence during key events and meetings, including mandatory on-site support in Chicago April 30-May 3, 2026.
  • Ability to work flexible hours to meet business needs.
