About

An Assistant Project Manager, or Project Manager Assistant, works alongside the Project Manager and team to plan and execute projects for a company. Their duties include identifying clients' or stakeholders' project needs and goals, creating a detailed plan to successfully complete a project and organizing and storing project reports and documents.

On a normal day, the Assistant Project Manager may work alone or with a team. The successful candidate will undertake the following duties and more as instructed by the Project Manager:

  • Liaising with project stakeholders concerning project details and deliverables
  • Assisting in the planning and implementation of projects
  • Helping to coordinate and manage project tasks and deliverables
  • Analyzing data as required
  • Conducting administrative duties, such as setting up meetings, drafting invoices and drawing estimates
  • Tracking and reporting project progress
  • Manage design review process and approvals
  • Assist with the flow of project information between team members / stakeholders
  • Maintain project documents in the SharePoint structure
  • Attend relevant meetings, update and maintain RFI/Issues/Action Item logs
  • Transcribe meeting minutes and action items and drive each item to closure
  • Familiar with OSHA safety requirements and the use of personal protective equipment
  • Report to job site as needed to receive materials, perform safety observations, gather project progress information, meet with client representatives, etc.
  • Preparation of various reports for multiple audiences, including formal project management reports, presentations, and other reporting requirements.
  • Support with bidding and appointment of subcontractors and direct vendors
  • Support the Project and Cost Management teams in Project Lifecycle Cost Analysis
  • Provide input into value engineering exercises and other project process improvements
  • Support with updating project cost reports Performing other duties assigned by the Project Manager in an orderly and efficient manner

Qualifications

  • Previous experience in construction, construction management, project management, public utilities, architecture, mechanical or civil engineering, building energy and sustainability, solar energy, tenant improvements, related fields, or mental health sectors
  • Passion and enthusiasm for design and construction
  • Strong analytical skills and proficiency in using Excel spreadsheets
  • Proactive, organized, and thorough possessing a strong work ethic
  • Ability to work as an effective team member in delivering the project
  • Excellent interpersonal and communication skills (both verbal and written)
  • Strong proficiency with Microsoft Office Suite, including Microsoft Teams, intermediate Excel strongly preferred.
  • High IT and computer literacy. Comfortable working both in the office and remotely.
  • Experience in analyzing data and presenting management Information is an advantage.

Job Type: Full-time

Pay: $55, $70,000.00 per year
