About

The Administrative Assistant works as a member of the Corporate Office team with the primary tasks of general clerical duties; such as greeting guests, back up for answering the switchboard, assisting with mail duties, departmental meeting notes, and various other clerical duties, while providing excellent customer service. This position reports to the Executive Secretary.

PRIMARY ACCOUNTABILITIES

Achieve Results

  • Provides clerical support as needed to the Corporate Office while ensuring work is performed in a timely and accurate manner.
  • Ensures guests, either on the telephone or in person, are greeted in a professional and courteous manner while ensuring all are being directed to the appropriate individual.

Operational Excellence

  • Ensures and upholds the confidentially requirements of all employee records and patient information, and manage all daily tasks and activities consistent with HIPAA, state and federal laws and regulations.

Relationships

  • Establishes a favorable working relationship with all staff members associated with the organization.

Leadership & Stewardship

  • Upholds and consistently represent the values, mission, and policies of the organization at all times.

PRIMARY TASKS AND DUTIES

  • Be the back-up for the front desk receptionist by assisting with answering telephones and directs callers to the appropriate individual in a professional and courteous manner.
  • Order supplies for the corporate office.
  • Assists the receptionist with the company mail by opening, sorting, and ensuring daily mail is stamped and processed.
  • Additional clerical support as needed to the Corporate Office.
  • Transcription and typing of departmental meeting minutes.
  • All other duties as assigned.

ESSENTIAL FUNCTIONS/KEY COMPETENCIES

  • Able to perform basic skills in Microsoft Word and Excel including setting margins, typing a business letter, and entering data.
  • Able to work with basic office equipment: fax machine, copier, and scanner.
  • Demonstrates strong customer service skills along with a professional personal presentation.
  • Demonstrates strong organizational and planning skills with the ability to pay attention to detail.
  • Demonstrates reliability.

POSITION REQUIREMENTS

Education

· High school diploma or equivalent

Experience

· 2-3 years experience as an Administrative Assistant

· Able to use a multi-line switchboard

· Strong computer skills with knowledge of Word and Excel

· Excellent customer service skills

Job Type: Full-time

Pay: $ $20.00 per hour

Expected hours: 40 per week
