FLSA: Non-Exempt

Reports to: VP of Human Resources

Location: On-site | 4288 Armstrong Blvd, Batavia, OH 45103

Compensation: $18.00-$20.00 per hour, with potential for higher rate based on experience and qualifications

Schedule: 1st Shift, Monday–Thursday 8:00 AM–6:30 PM; available to work Fridays as needed

Benefits:

  • At 60 days: 80 hours PTO

We are seeking a dynamic Executive Administrative Assistant to provide high-level support across departments, drive efficiency in a fast-growing environment, and help shape the future of manufacturing with teamwork, adaptability, and impact.

Primary Job Responsibilities & Essential Functions:

The Executive Administrative Assistant thrives in a fast-paced, rapidly growing environment, providing proactive, high-level support across multiple departments. This role demands adaptability, quick thinking, and a collaborative spirit to anticipate needs and drive efficiency during periods of expansion.

The following are the essential functions of the position—core duties required on a

regular basis:

Executive & Departmental Support:

  • Provide high-level administrative support to leadership and multiple departments by managing complex calendars, scheduling meetings, resolving conflicts, and coordinating cross-functional priorities.
  • Coordinate domestic and international travel (flights, hotels, rental cars, itineraries).
  • Prepare, edit, and distribute professional documents (reports, presentations, agendas, minutes) using Microsoft Office Suite.
  • Draft, proofread, and distribute correspondence on behalf of leadership; track action items and ensure timely follow-up.
  • Office Operations & Workflow Management
  • Manage incoming/outgoing communications by screening calls, responding to inquiries, drafting emails, and distributing mail/packages with accuracy and urgency.
  • Greet visitors, manage front desk operations, and ensure compliance with security and sign-in protocols.
  • Maintain organized physical and digital filing systems for rapid retrieval of critical records.
  • Perform accurate, high-volume data entry in HRIS, CRM, and internal systems to support real-time operational reporting.

HR & Onboarding Coordination:

  • Coordinate HR and onboarding functions, including:
  • Managing new hire onboarding: prepare safety packets, conduct training and facility tours.
  • Coordinating job-related background checks (in compliance with fair chance hiring practices).
  • Scheduling post-offer physical exams and drug screens (in compliance with ADA requirements).
  • Handling training logistics, benefits/uniform enrollment, reconciliation, and confidential records.
  • Maintaining and distributing monthly evacuation lists for safety compliance.
  • Support recruiting efforts in-person, by telephone, and via ZipRecruiter, Indeed, and HubSpot; schedule interviews and communicate with candidates.

Event & Meeting Logistics:

  • Coordinate logistics for meetings and events, including room setup, catering, technology needs, and vendor communication.

Cross-Functional Collaboration & Compliance:

  • Collaborate across departments (HR, IT, Quality, Leadership) to provide ad-hoc support during peak demand or growth initiatives.
  • Ensure compliance with safety and quality standards by adhering to OSHA regulations, company policies, and conducting required checks.
  • Additional non-essential duties include arranging flowers/gifts, securing catering with attention to dietary needs, and performing miscellaneous tasks to support team objectives.

Physical & Cognitive Demands:

  • Sitting/Standing/Walking: Frequently sits at a desk; occasionally stands or walks to deliver materials, escort visitors, or tour production floor.
  • Lifting/Carrying: Occasionally lifts up to 20 lbs (e.g., office supplies, catering trays, event materials).
  • Reaching/Handling: Frequent use of hands for typing, filing, phone operation, and document handling.
  • Vision/Hearing/Speech: Near/far vision, color distinction, hearing, and clear verbal communication required for reading, computer work, phone calls, and visitor interaction.
  • Cognitive: High attention to detail, multitasking, prioritization, and problem-solving in a dynamic, interruption-driven environment.
  • Environmental: Office setting with occasional exposure to production floor noise and machinery.

Qualifications:

  • Exceptional telephone etiquette and customer service orientation
  • Outstanding written and verbal communication skills
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general computer literacy
  • Working knowledge of Microsoft Teams, HubSpot, Acumatica, ZipRecruiter, or Indeed strongly preferred
  • Superior organizational, prioritization, and time-management skills in a dynamic environment
  • Proven ability to think on your feet, adapt quickly, and maintain composure under pressure
  • Discretion in handling sensitive and confidential information
  • Basic mathematical proficiency (fractions, percentages, ratios, proportions)
  • Impeccable attendance, punctuality, and professional appearance

Education & Experience:

  • High School Diploma or GED preferred
  • Minimum 2 to 5 years of executive-level administrative experience, relevant training, or equivalent combination
