The Import Coordinator is responsible for managing and executing end-to-end import operations, ensuring shipments are handled accurately, efficiently, and in compliance with all applicable regulations. The ideal candidate will be detail-oriented, proactive, and experienced with customs processes and international transportation. Proficiency in CargoWise is a must.

Key Responsibilities

  • Coordinate full cycle import operations, including ocean and/or air shipments
  • Create, manage, and track files within CargoWise
  • Communicate with overseas agents, carriers, vendors, and internal departments
  • Prepare and review documentation such as bills of lading, commercial invoices, ISF filings, arrival notices, and delivery orders
  • Monitor shipment status, resolve exceptions, and provide timely updates to clients
  • Ensure compliance with U.S. Customs and other government agency regulations
  • Arrange inland transportation, delivery appointments, and final-mile services
  • Invoice customers, reconcile charges, and maintain accurate billing records
  • Provide excellent customer service and problem-solving support
  • Maintain organized records and adhere to internal SOPs and industry best practices

Qualifications

  • 2–4 years of import operations experience with a freight forwarder
  • CargoWise experience required (intermediate to advanced preferred)
  • Strong understanding of U.S. import regulations and customs clearance processes
  • Experience with ocean freight, air freight, or both
  • Excellent communication, multitasking, and organizational skills
  • Ability to work in a fast-paced, deadline-driven environment
