Job Type: Full-Time | Salaried

Schedule: Monday – Friday 8am-5pm (on-call availability required, as needed)

Compensation: $65,000 – $75,000 base salary (paid weekly) + bonus opportunities

As we continue to grow, we are looking for an organized and people-focused Administrative Operations Manager to support daily operations and keep the business running smoothly.

Position Summary:

The Administrative Operations Manager is the operational backbone of Expert Tree Solutions. This person oversees the day-to-day administrative workflow, supports the owners, manages scheduling and customer communication, ensures accurate job documentation and billing, and helps create an efficient and positive working environment. This role is ideal for someone who is detail-oriented, thrives in a fast-paced small business environment, and enjoys being the go-to person who keeps the team aligned.

Key Responsibilities:

Customer Support & Scheduling

  • Manage inbound calls, emails, and online inquiries with a friendly and professional tone.
  • Schedule estimates, job appointments, and crew routes efficiently.
  • Maintain the job calendar and communicate schedule changes with customers and field crews.
  • Provide updates to customers regarding weather delays, equipment issues, or rescheduling needs.

Administrative & Office Operations

  • Maintain organized digital and physical filing systems for proposals, invoices, receipts, permits, insurance documents, etc.
  • Prepare and send estimates and proposals; follow up on pending approvals.
  • Assist with billing, collecting payments, and reconciling completed jobs.
  • Manage office supplies, software subscriptions, and basic facility upkeep.
  • Support the owners with day-to-day administrative tasks and special projects as needed.

Crew & Operational Support

  • Track completed work, missing documentation, and before/after photos.
  • Assist with coordinating equipment maintenance and vendor appointments as needed.
  • Help with onboarding new hires and maintaining personnel records.

Financial & Reporting

  • Prepare basic weekly reports (schedule updates, job status, payments received, outstanding proposals).
  • Support payroll preparation by tracking hours, PTO, and field adjustments if needed.

Customer Experience & Brand Support

  • Maintain a high standard of professionalism and customer experience reflective of the Expert Tree Solutions brand.
  • Assist with light social media posting or review responses.
  • Help coordinate mailers, reminders, and seasonal customer campaigns.

Qualifications:

  • At least 2-5 years' office management, administrative, or customer service experience required.
  • Experience in a construction, trades, landscaping, or service-based field preferred but not required.
  • Strong organizational and multitasking skills with the ability to prioritize.
  • Excellent communication skills – both written and verbal.
  • High proficiency utilizing technology – CRM scheduling tools, Google Workspace, QuickBooks, Microsoft Office.
  • Ability to work independently and maintain confidentiality.
  • Reliable, punctual, and comfortable working onsite Monday – Friday.

Interview/Hiring Process Expectations:

We will be collecting applications now through the beginning of January. We expect a 1-2 interview process with an expectation to make an offer by February 2026 and tentative start date of March 2nd, 2026.
