Job Summary
We are seeking an energetic and highly organized Receptionist to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems with professionalism, and provide exceptional customer service to visitors, clients, and team members. Responsibilities

  • Greet visitors warmly and professionally, ensuring a positive first impression of the organization
  • Answer, screen, and direct incoming calls using multi-line phone systems with excellent phone etiquette
  • Manage front desk operations, including handling mail, deliveries, and visitor sign-ins
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading
  • Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
  • Utilize computer skills to operate Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative tasks
  • Assist with bookkeeping activities using QuickBooks or similar accounting software when needed
  • Provide customer support by addressing inquiries promptly and professionally in person or via phone/email
  • Perform clerical duties including typing correspondence, organizing files, and maintaining office supplies inventory
  • Support specialized roles such as medical or dental receptionist duties if applicable, including patient scheduling and medical record management
  • Contribute to a well-organized office environment through effective time management and organizational skills

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools
  • Prior experience managing multi-line phone systems and demonstrating effective phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong customer service orientation with the ability to handle inquiries courteously and efficiently
  • Experience in office management or administrative support roles such as personal assistant or receptionist is preferred
  • Knowledge of bookkeeping software like QuickBooks is a plus
  • Ability to multitask efficiently while maintaining attention to detail in proofreading and data entry tasks
  • Familiarity with medical or dental receptionist responsibilities is advantageous but not required
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
