About

Our growing mitigation company is looking for a Project Administrator/Coordinator to help our Project Managers keep property mitigation and restoration projects organized, scheduled, and moving smoothly from start to finish.

About the Role:

As a Project Administrator/Coordinator, you will work closely with our project managers to handle administrative tasks, write estimates, communicate with customers, organize schedules, and support day-to-day job coordination. This role is essential in ensuring that jobs stay on track and that customers receive clear, timely communication. You will work primarily in the office (with minimal or no fieldwork) and serve as an important link between clients, crews, and project managers.

Key Responsibilities:

  • Prepare and assist with writing mitigation and repair estimates (experience with Xactimate is a plus but not required).
  • Call customers to schedule inspections, work appointments, and follow-up visits.
  • Organize and maintain project schedules, calendars, and job timelines.
  • Provide consistent and professional communication with clients about job status, next steps, and scheduling.
  • Handle administrative tasks including data entry, documentation, filing, emails, and phone communication.
  • Assist project managers by tracking job progress, updating notes, and maintaining accurate records.
  • Coordinate with field crews and subcontractors regarding scheduling and work updates.
  • Support day-to-day office operations to keep projects running efficiently.

  • Comfortable handling customer calls and scheduling
  • Ability to multitask in a fast-paced office environment
  • Good written and verbal communication skills
  • Basic computer proficiency (Microsoft Office, Excel, email, scheduling tools)
  • Positive, professional attitude and willingness to learn
  • Reliable, self-motivated, and detail-oriented

Bonus Points For:

  • Experience in mitigation/restoration, construction, or related administrative roles
  • Familiarity with Xactimate or other estimating software
  • Knowledge of insurance claims processes
  • Previous office administration experience in a contractor-type business
