Job Overview
We are seeking a highly organized and professional Administrative Assistant/Scheduler to join our team. This role is vital in maintaining efficient office operations, managing appointments, and providing exceptional customer service. The ideal candidate will possess strong exceptional organizational skills, ability to quickly learn software systems, patience with patients (we work with people with cognitive challenges), ability to speak slowly and clearly, and the ability to handle multiple tasks with accuracy and professionalism. Attention to detail and ability to track information is a must. Bilingual abilities and experience are a plus. This position is fully-remote with some in-person training required. This would be ideal for a graduate student or stay-at-home parent looking to make some extra money. While the candidate is expected to be available to answer calls during specific hours and respond to emails or inquiries quickly, there is quite a bit of flexibility with many of the administrative tasks.
Duties
- Manage appointment scheduling and calendar coordination using electronic health record system.
- Field phone calls and emails with professional phone etiquette
- Create invoices and submit notes and bills to appropriate payers
- Provide excellent customer support via phone and email
- Assist with office management tasks such as organizing supplies, maintaining files, and supporting daily operations
- Assist with record
Experience
- Prior office experience is preferred, especially in administrative or clerical roles within medical or dental settings
- Experience with interacting with individuals with cognitive difficulties is a plus
- Strong organizational skills with the ability to manage multiple priorities efficiently
- Excellent written and verbal communication skills with professional phone etiquette
- Bilingual abilities are a plus to serve diverse client needs
- Familiarity with multi-line phone systems and front desk operations is preferred
- Demonstrated ability to handle confidential information discreetly and maintain high levels of accuracy in record keeping

Pay: $ $30.00 per hour
Expected hours: 10.0 – 15.0 per week
