We are seeking a Temporary Administrative Assistant (approximately six months) to provide high-level administrative and operational support to the Chief Operating Officer and the Director of Sexual and Reproductive Health. This role supports day-to-day operations through calendar management, document preparation, data tracking, meeting coordination, and clear written communication.
The Administrative Assistant will work extensively in Microsoft Excel and Microsoft 365 applications, including Word, Outlook, and Microsoft Teams. Responsibilities include maintaining shared files, organizing and updating Excel-based tracking tools, preparing reports and meeting materials, coordinating calendars and meetings, and supporting communication across Teams and email. Comfort navigating shared drives, version control, and collaborative documents is essential.
The ideal candidate is detail-oriented, highly organized, able to manage multiple priorities, and comfortable supporting senior leadership in a fast-paced healthcare environment.
This is a temporary, six-month position, with the possibility of extension based on organizational needs.
Qualifications
- Proven experience in office management or administrative roles within healthcare or nonprofit settings.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Teams), and data entry tools.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities.
- Bilingual proficiency is preferred to serve diverse community members effectively.
- Previous experience with clerical tasks such as proofreading, filing, and calendar management is highly desirable.
