Responsibilities
- Manage front desk duties, including greeting visitors, clients, and vendors with professionalism and warmth
- Manage emails, phone calls, and follow-ups with clients, subcontractors, and vendors
- Maintain daily calendar and schedule appointments, consultations, and job walk-throughs
- Organize and update project files, contracts, proposals, and invoices
- Assist with document creation (estimates, spreadsheets, checklists, reports)
- Support office management activities by organizing supplies, maintaining office equipment, and overseeing clerical tasks like proofreading documents and preparing reports
- Provide customer support by addressing inquiries professionally both in person and via phone or email while maintaining excellent phone etiquette
- Coordinate with subcontractors and send reminders for scheduled work
Qualifications
- Prior office experience in administrative or clerical roles within construction or related industries is highly preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), and familiarity with data entry tools
- Excellent organizational skills with keen attention to detail; ability to multitask efficiently in a busy environment
- Bilingual abilities are highly valued to serve diverse clients and team members effectively
- Demonstrated customer service skills with professional phone etiquette and positive communication style
- Proven ability to manage calendars, schedule appointments, and handle time-sensitive tasks effectively
- Strong organizational skills combined with the ability to prioritize tasks independently while maintaining a friendly demeanor
