BASIC PURPOSE: The Administrative Assistant role provides for multiple and varying needs of all programs within the Family & Children's Center Viroqua office. The Administrative Assistant provides for completing duties at primarily at the front desk answering telephones, relaying messages, assisting clients with appointments, checking insurance, and assisting other staff.
This position typically starts at the mid wage range which can vary based on education and experience.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Maintain positive relationships to ensure that all clients, referral sources and staff are receiving the highest quality services in a manner consistent with Family & Children's Center's mission, vision and values. Support administration by providing office and clerical support services to ensure efficiency and effectiveness including professional customer service, following Quality Assurance practices, adhering to Revenue Cycle procedures to achieve optimal reimbursement and managing schedules, appointments, phones inventory, prior authorization, revenue and releases.
- Work cooperatively with all/multiple programs in the Viroqua office including CSP, CCS, DAP and TOD to assist with periodic needs of the supervisor and staff. These responsibilities will include, but are not limited to Medicaid checks, PQI chart reviews, checking and collating CCS billing.
- Maintain client files by obtaining, recording and updating personal and financial information in accordance with agency policies and governing standards. Adhere to all laws of client rights, confidentiality and privacy as governed by HIPAA, governing standards and FCC.
- Maintain regular communication with direct supervisor to assure he/she is properly informed regarding program and service issues, concerns and updates. Work collaboratively with all members of clinical billing, and management teams to function as a cohesive and professional unit.
- Participate in staff meetings and other agency meetings as requested. Remain current in required hours of annual staff development.
ESSENTIAL KNOWLEDGE, SKILLS & ENVIRONMENT
Education, Training & Work Experience: HS Diploma or equivalent, customer service experience as well as relevant experience in insurance and/or health care environment are preferred. Excellent written, verbal and telephone communication skills are required. Ability to multi-task and quickly change focus in a fast paced work environment.
Specialized Knowledge & Skills: Detail oriented, customer focused, organized and takes initiative. Strong time management, planning and organizational skills. Works well in a team setting. Experience handling difficult situations with customers.
Equipment & Applications: Independently execute desktop PC application including Gmail, Microsoft products, multiline telephone and other office equipment and experience with and/or ability to learn electronic Health Records (EHR).
Work Environment & Physical Demands: Normal office environment and related indoor conditions with minimal, infrequent lifting, bending and standing. Some stress may occur. There may be occasional travel required.
