Role Overview
I'm seeking a highly detail-oriented, organized, and trustworthy Executive Assistant / Family Office Administrator to support both household operations and multiple LLC entities.
This is a foundational role in an early-stage family office. As the office expands, the position will naturally grow—offering opportunities to build systems, take on more ownership, and potentially evolve into a senior operations or family office management role.
This is a direct hire, hybrid position.
Key ResponsibilitiesFamily Office / Entity Administration
- Maintain documents for multiple LLCs (filings, renewals, registered agent coordination)
- Organize legal, tax, insurance, and compliance documents
- Track deadlines and keep entities in good standing
- Coordinate with attorneys, CPAs, and vendors (administrative support only)
- Maintain digital filing systems and document archives
Executive Assistant Support
- Manage calendars, reminders, and follow-ups
- Organize mail, packages, personal correspondence
- Prepare summaries, notes, checklists, and process light paperwork
- Manage personal and administrative tasks with discretion
- Assist with light project coordination
Household Operations
- Coordinate with household vendors (gardener, landscaping, pool service, maintenance, cleaner, repairs)
- Track and process home-related invoices
- Maintain household service schedules and documentation
- Oversee recurring services and ensure smooth day-to-day operations
Ideal Candidate Profile
The strongest candidates may come from backgrounds such as:
- Executive Assistant supporting founders, executives, or investors
- Operations admin / office manager
- Family office or private household admin experience
- Paralegal / legal assistant / legal operations
You should be:
- Exceptionally detail-oriented and thorough
- Highly organized, structured, and process-driven
- Comfortable juggling a variety of administrative responsibilities
- Discreet and trustworthy with confidential information
- Proactive with excellent follow-through
- Someone who enjoys creating order and systems
Job Type: Full-time
Pay: $100, $140,000.00 per year
Work Location: Hybrid remote in Menlo Park, CA 94025
