Position Summary

The Maintenance Support Coordinator provides essential operational and administrative support to the Charlotte Shop/Small Tools Department. This role focuses on coordinating daily activities, maintaining organization across the yard and warehouse, supporting field maintenance efforts, managing rentals, and ensuring accurate recordkeeping. The position plays a key role in communication, efficiency, and customer service to both internal and external stakeholders.

Key Responsibilities
Communication & Collaboration
  • Greet visitors, receive vendor deliveries, and assist the mobilization team with loading and unloading assets.
  • Maintain polite, professional communication via phone, email, and in person.
  • Collaborate with the Manager to schedule repairs, deliveries, and equipment allocation based on field needs and inventory status.
  • Take detailed notes, set deadlines, and maintain accountability for ongoing projects.
  • Provide general assistance for non-routine or special requests as needed.
Field Maintenance
  • Conduct equipment inspections in the field and document findings.
  • Assist with cyclical inventory checks and maintain up-to-date maintenance and calibration records in Tenna.
  • Support the coordination of field repairs and ensure completion of proper documentation.
Warehouse & Yard Operations
  • Manage small tool and light equipment tracking, order requests, and repair histories in Tenna.
  • Coordinate pulling and returning equipment orders, assess condition, and schedule maintenance when necessary.
  • Maintain organized warehouse and yard layouts to ensure efficient workflow.
  • Assist with loading/unloading trucks and help drivers exit the yard promptly.
  • Conduct parts runs and address urgent requests as needed.
  • Develop and uphold procedures to maintain adequate stock levels of supplies, tooling, and recurring parts.
  • Perform regular facility inventory audits and provide detailed reports to management.
  • Continuously evaluate and recommend improvements to ordering, receiving, and inventory processes.
Rentals
  • Monitor rental fleet levels, identify utilization trends, and communicate opportunities for owned-fleet growth.
  • Track and analyze rental house data through portal systems.
  • Share relevant rental details with Project Managers, Project Engineers, Foremen, Superintendents, and Division Managers, as well as the Equipment Division for returns or swaps.
Warranty
  • File parts warranty claims with manufacturers for defective components.
  • Maintain accurate and current warranty information within Viewpoint and Tenna.
Qualifications
  • Bachelor's degree or equivalent industry experience.
  • Self-starter with strong attention to detail, organization, and interpersonal communication.
  • Strong written and verbal communication skills.
  • Sound decision-making and problem-solving abilities with limited supervision.
  • Team-oriented mindset and ability to work in a fast-paced environment.
  • Ability to manage multiple tasks and meet deadlines under pressure.
  • Proficient in Microsoft Office Suite; experience with Tenna or Viewpoint preferred.
  • Basic math proficiency with ability to calculate figures such as discounts, proportions, and percentages.
  • Flexible work schedule with occasional overtime or weekend work as needed.
  • Valid driver's license and MVR-compliant driving record required.
Work Environment

This position involves work in both office and outdoor environments, often in varying weather conditions. Must be able to lift and carry equipment, stand or walk on uneven surfaces, bend, kneel, climb, twist, and push/pull materials as required.
