Overview
We are seeking a highly organized and proactive Office Coordinator to oversee daily administrative operations and support our team. The ideal candidate will possess strong communication, organizational, and management skills, with experience in office administration, event planning, and vendor relations. This role offers an opportunity to contribute to efficient office functioning while developing professional expertise in a dynamic environment.

Responsibilities

  • Manage calendar scheduling and coordinate appointments for staff and executives
  • Oversee front desk operations, including multi-line phone systems and visitor reception
  • Handle clerical duties such as filing, data entry, and maintaining organized records
  • Assist with bookkeeping, invoicing, and basic accounting tasks using QuickBooks or similar software
  • Support human resources functions including onboarding, training & development, and employee record management
  • Coordinate vendor relationships and manage procurement of office supplies and services
  • Organize company events and meetings, including planning logistics and preparing materials
  • Supervise administrative staff or interns when applicable to ensure smooth daily operations
  • Maintain office policies, procedures, and ensure compliance with organizational standards
  • Manage office budget tracking and assist with financial reporting as needed

Skills

  • Proven experience in office management or administrative roles with strong clerical background
  • Excellent communication skills, including phone etiquette and professional interaction with clients and staff
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Experience in event planning, vendor management, and schedule management
  • Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and multi-line phone systems
  • Knowledge of human resources processes such as payroll administration and employee onboarding
  • Ability to handle bookkeeping tasks and manage office budgets accurately
  • Experience in medical office management or similar environments is a plus
  • Supervising experience or team management skills are desirable
  • Ability to adapt quickly to changing priorities while maintaining attention to detail
