About
Qualifications:
- 8-10+ years working in the administrative field (civil engineering, land surveying are a plus)
- Ability to work in a team environment while maintaining effective working relationships
- Fast paced environment
- Computer skills: Proficiency in Excel, Word and Outlook Exceptional organization, multitasking, attention to detail, time management
- Strong written and verbal communication skills are essential for interacting with all levels of staff, subconsultants and external contacts
- The ability to work independently, anticipate needs and solve problems with a proactive mindset while being a part of an administrative team
- A proven ability to handle sensitive information
Primary duties include but are not limited to (daily/weekly):
Drafting, formatting, reviewing, and finalizing of:
- Fee Proposals
- Additional Work Authorization's
- Comment Response Letters
Security Access for Projects - for both field and office employees:
- Access forms or other forms as needed
- Submission
- Assist in coordination of badge pick-up
- Coordinate with our Subconsultants that require access
- Coordinate with clients and government personnel through-out the access process
- Upholds the confidentiality of employee information
Log Employee Leave Requests
Transmittals
New Project Setup
Agenda content for weekly staff meetings
Tracking spreadsheets for:
- Weekly department meeting
- Security access projects
Act as a point of contact for internal staff, external clients and subs
Schedule and plan meetings/Team building events
·Must be physically capable of handling miscellaneous office needs which can include lite lifting (10lbs +/-)
Monthly duties include but are not limited to:
Notify field crews of vehicle registration renewals and/or emissions, state inspection
Issue and collect Quarterly Vehicle Inspection Forms
As needed duties but not limited to:
New employees (field/office): Set up workspaces, training, introduction to Gordon Staff
Scanning/Copying of surveys
Membership/License renewals
Online land records subscription renewals
Department training set up and food
Receptionist (breaks and back up when needed)
Per Diem requests for travel
Travel arrangements (hotels)
Set up Executive Meetings
Coordinate Department Team Building Events
Conference/Event Sign Ups
Supplies for the Dept.
Cross-trained duties include:
·Print Room
Comment Response Letter (Bluebeam)
Fed Ex/Courier
EOE/Vet/Disabled
Job Type: Full-time
Pay: $ $30.00 per hour
Expected hours: 40 per week
