Overview
We are seeking a detail-oriented and highly organized Administrative Assistant to join our team. The clinic administrative assistant is the first point of contact for our clients, ensuring a seamless and positive experience from the moment they walk through the door. This role involves managing the front desk, scheduling appointments, processing payments, and supporting the team with administrative tasks. The ideal candidate is highly organized, client-focused, personable, but above all, has a genuine passion for wellness and helping others feel their best. You must be able to create a calm and welcoming environment that reflects our wellness philosophy.

Responsibilities

  • Client Interaction & Reception: Greet clients warmly, manage front desk operations, and handle client communications through phone calls, emails, and text messages. Ensure seamless appointment scheduling and provide information about services when needed.
  • Clinic Operations: Oversee daily clinic operations, ensuring all areas are clean, organized, and well-stocked. Prepare treatment rooms for clients, ensuring everything is ready for their appointments and maintaining a welcoming atmosphere.
  • Executive Support: Assist the executive team with managing schedules, meetings, and administrative tasks such as correspondence, reports, and presentations.
  • Social Media & Marketing Support: Assist with content creation, scheduling, posting, and engaging with followers across Everlabs' social media channels.
  • General Administrative Tasks: Handle office supplies and inventory, and assist with organizing events and wellness programs.

Experience

  • Previous administrative experience is recommended
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong typing skills with attention to detail for data entry tasks.
  • Excellent organizational skills to manage multiple tasks effectively while maintaining high standards of accuracy.
  • Strong communication and interpersonal skills
  • Demonstrated ability to provide exceptional customer service with strong phone etiquette.
  • Experience handling clerical duties such as filing, proofreading, and general office management is beneficial.
