The Sales Support Specialist plays a critical role in empowering our sales team to achieve targets and ensuring an exceptional customer experience. This individual will provide comprehensive administrative and operational support to the sales department, streamlining processes, managing key data, and acting as a vital link between sales, customers, and internal teams. Additionally, this role will provide marketing support to the Sales team. The ideal candidate is highly organized, detail-oriented, proactive, and possesses excellent communication and problem‑solving skills. Roles and Responsibilities
Assist the sales team with all stages of the sales cycle, from lead generation support to post‑sale follow‑up. Prepare and process sales orders, quotes, proposals, and contracts accurately and efficiently. Coordinate with other departments (e.g., operations, finance, engineering) to ensure seamless order fulfillment and customer satisfaction. Monitor and track the status of orders, providing updates to sales team members and customers as needed. Assist in preparing for sales presentations, meetings, and industry events. Customer Relationship Management
Serve as a primary point of contact for routine customer inquiries. Resolve customer issues and elevate complex problems to the appropriate salesperson or department. Maintain strong, positive relationships with customers through professional and timely communication. Data Management & Reporting
Maintain accurate and up-to-date customer and sales data within the CRM system (e.g., Zoho). Assist in forecasting sales trends and identifying areas for improvement in sales processes. Administrative Support
Manage sales team calendars, schedule meetings, and coordinate travel arrangements as required. Organize and maintain an accessible filing system for sales documentation (digital and physical). Assist with other administrative tasks as assigned to support overall efficiency of the sales department. Product Knowledge
Develop and maintain a strong understanding of our company's products, services, and pricing structures. Stay informed about industry trends, competitive offerings, and market conditions to better support the sales team. Experience, Qualifications and Skills
1‑3 years of experience in a sales support, administrative, or customer service role, preferably within a fast‑paced sales environment. Experience with CRM software (e.g., Zoho, Salesforce) is highly preferred. Exceptional communication: excellent verbal and written skills, with the ability to articulate information clearly and professionally to diverse audiences. Organizational & time management: highly organized with strong attention to detail and the ability to manage multiple priorities and deadlines effectively. Problem‑solving: proactive and resourceful in identifying and resolving issues independently. Technical proficiency: proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new software. Customer focus: a genuine commitment to providing outstanding customer service. Team player: ability to work collaboratively within a team environment and support colleagues.
