Community Manager | Job Description
Primary Purpose
The primary purpose of the Community Manager is to be responsible for day-to-day operations of the properties you have been assigned and provide leadership to the team under your direction such as maintenance, cleaning staff, security, and weekend staff if applicable. The Community Manager will provide excellent and responsive service to our tenants to drive resident satisfaction and ultimately, positive results at the property. With minimal guidance from the Senior Property Manager(s) and above, the Community Manager works alongside the site staff, commercial property management and contractors to achieve the desired leasing, operational and financial results for the building. The Community Manager is expected to ensure the safety and wellbeing of the residential tenants and staff at the building, adhering to the BCFSA guidelines, and ensure the building maintained to a high standard.
Specific Responsibilities
The Community Manager will at various times be responsible for the following as well as other related duties as assigned to support the business objectives and purpose of the Company:
Leadership and Team Management
- Supervise, coordinate, and mentor resident services, maintenance, cleaning, security, weekend staff, and contractors.
- Collaborate with internal and external team members, including clients, tenants, vendors, contractors, accounting, and administrative staff, to ensure efficient property operations.
- Actively participate in onboarding and developing residential and commercial operations team members.
- Administer the company's performance management program and support vacation/leave needs.
- Administer tenancy agreements fairly, interpret the Residential Tenancy Act and Regulation, maintain positive tenant relations through prompt responses, and effective communication.
Tenant and Client Relations
- Build and maintain strong working relationships and provide best in class service with residential and commercial tenants, on-site personnel, contractors and owners through regular communication
- Provide timely and appropriate response and action to tenant and client inquiries and requests
- Liaise and coordinate with resident managers, on-site personnel, owners, tenants and contractors as necessary
- Meet tenants and/or clients on-site as may be required
Property Management
- Collect receivables in a timely manner and work with property manager to collect outstanding balances, issue required forms, prepare for dispute resolution proceedings, and take necessary legal actions.
- Manage occupancy, show suites and implement tenant retention strategies to optimize occupancy and revenue for the property
- Assist with preparation, review, and distribution of monthly financial reports
- Review, code, and track invoices in a timely manner to relevant contractors and properties, and request adjustments to invoices as may be required
- Prepare welcome packages, tenant correspondence, notices and other documentation as may be required
- Actively monitor deficiencies in suites, common areas, mechanical and safety systems are maintained, energy-efficient, and environmentally sustainable.
- Conduct regular property inspections including rental units at move-in, move-outs, and coordinate other maintenance required as appropriate.
- Maintain, ensure compliance, coordinate, and execute initiatives related to insurance/risk management, incidents, claims, legal files, and environmental/energy conservation programs.
- Coordinate with property manager and maintain community in accordance with annual approved budget for approved capital improvement and repair projects, communicate with stakeholders, and ensure projects are completed on budget.
- Be available for on-call, after-hours emergencies.
Other Responsibilities
- Act as Warrington PCI Management’s representative in meetings, community events, and building tours.
- Maintain good relationships with contractors and tenants, responding professionally and efficiently to their requests.
- Liaise with the Property Manager(s) and head office support team as required.
- Maintain tenant, contractor, and general files by completing all required paperwork associated with the position. Ensure contractors and trades are in compliance with WorkSafe BC.
- Post notices and attend arbitration if necessary by collaborating and taking direction from the property manager.
- Program and maintain all access keys/fobs, inventory list, parking lists, etc., for the building(s) as assigned.
- Perform any other duties as directed by the Warrington Residential and leadership team, or as assigned.
Qualifications
To be successful in the Community Manager position, an individual must be committed to developing, maintaining and demonstrating the following:
Satisfactory Criminal Record Check is required as Conditions of Employment as this will be in a residential tenanted setting.
Education and Experience
- Degree or diploma in a related field, with a preference for RMTI certificate or PAMA Rental Building Management Certificate, or ARM designation.
- Minimum two (2) years related experience in residential multi-family rental property management; hospitality experience would be a benefit to this role, but not necessary.
- Strong understanding of the Residential Tenancy Act, Residential Tenancy Regulation, and the Real Estate Act is an asset.
- Proficient in Microsoft Office applications, particularly in Microsoft Excel.
- Experience and working knowledge of Yardi Voyager and PayScan is an asset.
- Fluent in English, both written and verbal. Fluency in another language as an asset.
- An established track record of excellent customer service.

- Knowledge of Occupation Health & Safety
- Ability and knowledge to safely work with basic tools and chemicals used in building operations
- Ability to work in a flexible schedule including evenings and weekends
- Ability to complete the above tasks which may include lifting, pushing or pulling up to 50lbs
- Ability to spend up to 8 hours walking, standing, climbing stairs, and/or lifting
- Ability to work in variable environments including dust, warm or cold temperatures
