Our client is a leading and well-respected law firm known for its commitment to excellence and client service. This role requires only 2 days in office . With a strong focus on Labour and Employment law, the firm has built a reputation for providing practical, strategic, and high-quality legal services.


Responsibilities

  • Provide comprehensive administrative and clerical support to assigned lawyers.
  • Schedule appointments, arbitrations, and appearances, and coordinate meetings and conferences.
  • Receive, prioritize, and track incoming correspondence and deadlines.
  • Manage the flow of work through the lawyers’ offices, including handling routine correspondence and follow-ups.
  • Prepare, format, proofread, and review legal documents and correspondence to ensure accuracy and compliance with legal procedures.
  • Prepare and file forms with the Ontario Labour Relations Board (OLRB), Grievance Settlement Board (GSB), and Human Rights Tribunal Ontario (HRTO).
  • Arrange for service and filing of legal documents.
  • Process invoices, expense reports, and prepare file status and work-in-progress reports.
  • Maintain filing systems, including a tickler system, and ensure proper file opening, maintenance, and closure procedures.
  • Enter dockets and prepare time summaries and reports as needed.
  • Make travel arrangements for lawyers.
  • Provide support to other lawyers as required.


Requirements

  • 3–5 years of legal administrative experience, ideally in Labour and Employment law.
  • Strong knowledge of Labour Board procedures and timelines.
  • Excellent written and verbal communication skills, with strong attention to grammar and detail.
  • Highly organized with the ability to prioritize tasks, meet deadlines, and adapt to changing priorities.
  • Proven ability to work independently and collaboratively.
  • Strong discretion and ability to handle confidential information.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Adobe Pro, and experience with document management and time entry systems (e.g., NetDocuments, Soluno) considered an asset.
  • Accurate keyboarding skills (55+ wpm).
  • Demonstrated sound judgment, professionalism, and a strong work ethic.
  • Ability to work overtime when required.
