About the Opportunity
We are seeking an Intermediate Project Control Officer to support a regional team focused on health system planning, design, and implementation. This role provides administrative, coordination, and project control support to leadership and project managers, helping ensure effective planning, communication, and execution of key initiatives.
The successful candidate will be highly organized, detail-oriented, and comfortable supporting multiple stakeholders in a fast-paced, professional environment.
Key Responsibilities
- Support leadership and project teams in coordinating, planning, communicating, and executing core project deliverables
- Prioritize, research, analyze, and summarize information to keep leadership informed of key issues and activities
- Act as a central point of contact between leadership and internal/external stakeholders
- Manage the flow of communications, ensuring requests are prioritized, coordinated, and delegated appropriately
- Coordinate calendars, meetings, presentations, and preparation of briefing materials
- Prepare reports, summaries, correspondence, and project documentation (some confidential)
- Maintain project documentation repositories, ensuring records are current, accurate, and complete
- Track project progress, action items, risks, and reporting logs
- Support project managers by providing updates, identifying risks, and escalating issues when required
- Attend meetings, working groups, and committees as required
- Assist with travel coordination, outreach planning, and cross-regional coordination activities
- Manage competing priorities and deadlines with a proactive, hands-on approach
Required Qualifications (Must Have)
- 3+ years of executive or senior administrative experience
- 5+ years of experience supporting multiple individuals in a professional environment
- 5+ years of experience scheduling meetings and managing calendars
- 5+ years of experience demonstrating strong organizational, time management, and attention-to-detail skills
- Proven ability to work effectively with diverse internal and external stakeholders while delivering excellent customer service
- Strong verbal and written communication skills
- Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and MS Teams document repositories
Nice to Have
- Experience working in the public sector or broader public service environment
- Experience supporting healthcare, health system, or health-related organizations
- Experience working in large, complex, or multi-stakeholder organizations
Desired Experience & Skills
- College or university degree, or equivalent combination of education and experience
- 5–10 years of experience supporting senior leadership or executive-level initiatives
- Demonstrated ability to prioritize and manage competing demands in a high-pressure environment
- Experience in internal and external communications and partnership coordination
- Experience maintaining project budgets, progress reports, risk logs, and action item trackers
- Experience developing and maintaining project status reports
- Strong accountability, professionalism, and follow-through
