Event Coordinator (1-Year Contract)


Canadian Salsa Dance Corporation – Montreal, QC | Bilingual (French/English) Required

The Canadian Salsa Dance Corporation (CSDC) is seeking a proactive, detail-oriented, and professional Event Coordinator to lead the planning and execution of our cultural festivals, conferences, and community initiatives. This role requires a highly organized individual with strong project management, people skills, and the ability to uphold the highest standards of professionalism.

Position Type: 1-Year Contract (with potential for renewal)

Location: Montreal, QC (on-site work required)

Languages: Fluency in French and English (spoken and written) is mandatory

Schedule: Must be flexible, including availability for evenings and weekends during event periods

Key Responsibilities:

  • Plan and execute all logistical aspects of events: timelines, production schedules, and vendor coordination
  • Prepare and manage event budgets with accuracy and fiscal responsibility
  • Coordinate booking of talent: performers, DJs, speakers, and hospitality partners
  • Conduct site visits and lead venue planning, including layouts and technical setups
  • Manage invitations, guest lists, RSVP tracking, and on-site registration processes
  • Design and oversee the production of event communications, promo materials, and signage
  • Lead public relations and marketing efforts to promote events and community engagement
  • Secure sponsorships and partnerships to support fundraising goals
  • Negotiate contracts and secure event spaces and service providers
  • Hire, onboard, and supervise temporary staff and volunteers for event support
  • Ensure professional conduct and adherence to workplace standards across event operations
  • Coordinate basic HR-related duties tied to event staffing (shifts, responsibilities, and conduct)
  • Maintain inventory and oversee the transport and storage of event assets
  • Conduct post-event reporting, evaluation, and stakeholder debriefs

Qualifications:

  • 3–5 years of experience in event coordination, festival production, or cultural programming
  • Experience overseeing teams and managing HR-related tasks in a project-based environment
  • Proven ability to work under pressure, solve problems, and maintain professionalism
  • Excellent interpersonal, negotiation, and written communication skills
  • Proficiency in digital tools such as Google Workspace, Excel, Canva, or project management platforms
  • Comfortable managing relationships with artists, media, vendors, sponsors, and staff
  • Committed to excellence, team collaboration, and cultural sensitivity
  • Fluency in both French and English is required
