Role Overview

The Project Coordinator supports the Project Management team by providing hands-on project oversight, coordination, and administrative support across active Industrial/Manufacturing projects. This role works closely with Project Managers, engineering teams, and site personnel to ensure projects are executed efficiently, accurately, and in alignment with established standards, timelines, and budgets. A strong emphasis is placed on communication, organization, and process consistency.


Key Responsibilities


Project Oversight and Coordination (Approximately 80%)

  • Work closely with Project Managers, engineering teams, and site teams to support project execution and ensure deadlines and project requirements are met.
  • Monitor active project labour, equipment, and materials tracking sheets to ensure accuracy and completeness for assigned projects.
  • Support project budgeting, cost tracking, and financial reporting activities.
  • Assist in the preparation of both client-facing and internal deliverables, including reports, change orders, and project documentation.
  • Serve as a central coordination point between project teams and internal departments such as accounting, procurement, and quality.
  • Maintain proactive, professional communication with clients, subcontractors, and suppliers.
  • Manage project transmittals and submissions to ensure timely and accurate document flow.
  • Report directly to the PMO Manager.


Standardization and Process Improvement (Approximately 20%)

  • Ensure all project documentation complies with established standards and PMO requirements.
  • Lead initiatives to streamline and standardize project coordination processes across all projects.
  • Identify opportunities to improve tools, templates, and workflows, and present practical, value-driven solutions.


Qualifications and Experience

  • Bachelor’s degree or Diploma in a technical or engineering-related field.
  • 2+ years of experience supporting projects in a coordination or administrative capacity.
  • Experience within a technical, design-build, or engineering organization is considered a strong asset.
  • Demonstrated ability to work both independently and collaboratively while managing multiple priorities.
  • High level of organization with the ability to manage complex coordination requirements.
  • Proficiency in Microsoft Office and SharePoint
  • Excellent verbal and written communication skills.
  • Strong interpersonal and presentation skills with the ability to engage effectively across teams and stakeholders.
