Job Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical support. Bilingual skills are a plus, as well as familiarity with medical or dental office environments. This position offers an opportunity to work in a dynamic setting where organizational skills and attention to detail are highly valued.

Responsibilities

  • Greet visitors and clients at the front desk with professionalism and courtesy
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendar appointments using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain accurate records using various software including QuickBooks when applicable
  • Handle correspondence, proofread documents, and ensure proper documentation procedures are followed
  • Support office management tasks such as ordering supplies, maintaining inventory, and organizing files
  • Provide customer support via phone and email, ensuring excellent phone etiquette and timely responses
  • Assist with bookkeeping tasks as needed, including basic invoicing and record keeping for billing purposes
  • Support personal assistant duties such as calendar management and coordinating meetings or events

Requirements

  • Proven office management or clerical experience with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with data entry, filing systems, and document proofreading
  • Familiarity with multi-line phone systems and excellent phone etiquette
  • Ability to handle customer service interactions professionally and courteously
  • Knowledge of QuickBooks or bookkeeping experience is preferred
  • Bilingual abilities are a plus to assist diverse client needs
  • Strong computer literacy with the ability to adapt to new software quickly
  • Excellent time management skills with the ability to prioritize tasks effectively
  • Previous experience in medical or dental receptionist roles is advantageous but not required
  • Personal assistant experience or experience managing calendars is beneficial

This position is integral to maintaining an efficient office environment while delivering outstanding support to clients and staff alike.

Job Types: Full-time, Part-time

Pay: $15.80-$21.00 per hour
