What you'll be doing:

Momentum is a friendly, judgment-free place where people facing income or job challenges can learn skills to build a better future. We treat everyone with care, respect, and a real commitment to helping them succeed.

When working as the Welcome Team Administrator, you'll be the first point of contact for visitors and callers, making sure everyone has a warm, professional experience. You'll also support daily administrative tasks and assist the Director of Programs.

Key Areas of Responsibility:

  • Welcome Desk and Office Administration.
  • Assist the Director of Programs.
  • Respond to information requests, general inquiries, and provide program information to the public.
  • Organization-wide support.
  • Answer telephone calls and monitor emails
  • Ensure no visitor or caller leaves without receiving helpful information or direction to the extent possible.

Assistance to the Director of Programs

  • Coordinate the administrative details involved in activities, meetings, projects, etc.
  • Manage the Direct of Programs meeting schedule and e-mail to maximize efficiency.
  • Track tasks and reports with deadlines, to ensure they are completed.
  • Provide administrative support for priority projects. 

Administrative Services

  • Log calls, emails, and visitor inquiries in the Welcome team Inquiry Tracker, ensuring records are accurate.
  • Order and maintain office and participant-lounge supplies.
  • Arrange temporary coverage for the Welcome Desk when required.
  • Prepare incoming and outgoing mail, courier items, etc.
  • Deliver/facilitate Welcome Desk Support Orientation for new staff.
  • Ensure resource center is stocked with Momentum brochures and external information and material.

  • Is tech-savvy and enjoys learning new systems and tools (especially CRM or data systems).

What you will need to do the job well:

  • Personable, friendly, customer service-oriented attitude.
  • Sensitive to the needs of persons with low literacy challenges, English as an Additional Language, and individuals with disabilities.
  • Experience in working with a multicultural and/or individuals with income barriers.
  • Dependable, reliable, and accountable.
  • Able to work independently as well as collaboratively.
  • Organizational skills.
  • Attention to detail.
  • Knowledge of community resources in Calgary is an asset.
  • 2-3 years customer services skills.
  • Training in Office Administration and/or Coaching.
