Education: High School Diploma. 4 year college degree preferred but not required. Experience: Minimum of one year hotel experience in Sales or Catering, with hotel sales systems knowledge required. Previous customer service orientation and training is required. Skills and Knowledge: The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation. Excellent oral and written communication skills Excellent organization skills, manages time well, correctly prioritizes and if flexible Excellent creative skills to provide innovative set-ups, menus, and functions for groups Ability to generate creative and innovative menus while working closely with Chef on pricing specialty menus Ability to work well under pressure and meet deadlines Ability to manage outside departments and agencies Strong interpersonal skills and possession of a full understanding of professional business ethics, decorum and social skills Proficient in use of Microsoft Word, Excel and PowerPoint Appropriate professional appearance and demeanor Comprehension of technical application of sales system Full understanding of hotel product and the market conditions Demonstrates self-confidence, energy and enthusiasm Maintain a level of professionalism and cooperation with clients as well as co-workers Team-Player Detail-oriented Job Duties
Work closely with each group's meeting planner regarding groups menu planning, agenda setting, hotel meeting services, hospitality amenities and special VIP request Monitor and manage room blocks according to contract utilizing group history reports and information given by clients to maximize hotel revenue, making adjustments as necessary Review sales contracts as well as other important information, i.e., room block, cut off date, special concessions and attrition clauses and validate with client via turnover letter Monitor and enforce program deadline dates and work with clients to release meeting space not needed to maximize hotel revenues Check sleeping room and suite block, special room concessions and rates as outlined in contract with group reservations agents, as well as updating group reservations agents with any changes Verify credit information submitted in account management software system at point of turnover, to include estimated amount of billing, billing type, and appropriate contact and update information as necessary until departure Understanding of AV standards and pricing to generate additional revenue Assist in development, design, and implementation of custom menus Create detailed event orders to meet the specifications of both the client and hotel Maintain proper documentation of events, changes and special requests with updated Banquet Event Orders, group resumes and rooming lists Communicate and enforce contractual agreements pertaining to meeting space, food and beverage, and special concessions Optimize room rental, AV, and F&B charges Effectively up sell products and services throughout the pre-event planning phase to maximize profitability Organize and conduct site visits, pre-planning visits, pre-con and post-con meetings Conduct site visits and menu tastings as needed Produce and distribute convention resume two weeks prior to first day of main group arrival and communicate any changes and updated information to hotel departments Work closely with banquets and F&B Direction for execution of business Provide direction and coordination to service team and adapt quickly to changes made last minute Provide accurate and concise information to all departments Communicate event details to hotel operations staff, including food and beverage needs, audio visual requirements, function room set-up, billing, etc. Assist in executing the expectations of the client as outlined in the BEO Function as the on-site contact to client for all aspects of their events Participation in re-booking of repeat business Prepare reports such as but not limited to: Banquet Event Orders (BEO's), Sales System Reports, correspondence, and analysis relative to group activity, customer correspondence, resumes, and internal memos and communications.
