Proof Strategies is Canada's leading independent communications agency specializing in public relations, public affairs, government relations, and marketing. We're excited to be a leader in adopting Artificial Intelligence as a partner to our talented consultants in serving clients.
We're looking for a motivated, curious, and detail-oriented communications professional to join our AI Innovation and Technology team in Toronto in an entry-level Account Coordinator position. This role is designed for someone early in their career who is excited about how AI is reshaping communications and marketing work, and who enjoys turning complex work into clear, well-organized, client-ready deliverables.
You will support our obtAIn-IQ AI visibility audits, help build and update AI training resources, and conduct research and landscape scans using approved AI tools. You will also support account teams with media monitoring, digital marketing coordination, and reporting. You will be staffed to accounts and support centrally across the agency as needed.
This is not an engineering role. No coding is required, and you will not be training AI or machine learning models.
What you'll do
AI Visibility (obtAIn-IQ) and AI-enabled Workflows
- Run structured prompt and search tests end-to-end using our frameworks.
- Capture outputs consistently and log results in trackers.
- Maintain clean testing records, including versioned prompt libraries, clearly labelled screenshots, and organized files that make results easy to audit and reproduce.
- Compile progress notes and first-pass summaries for client-ready reports. Flag anomalies, inconsistencies, or potential risks for review.
- Conduct research and landscape scans using approved AI tools and clearly capture sources and supporting evidence.
- Draft lightweight workflow notes ("how we'll use AI here") for projects, following existing frameworks (e.g., TRACI for prompting; our AI Visibility scoring guide). Support builds of simple Agents/GPTs from templates for internal and client use.
Training and Enablement Support
- Prepare and update training decks from templates. Refresh examples, QA slides, and ensure everything is client-ready.
- Maintain resource hubs, FAQs, prompt packs, and intake forms.
- Keep documentation tidy, searchable, and up to date.
- Support training session logistics, including materials, recordings, note-taking, and follow-up documentation.
PR and Marketing Support
- Support media monitoring and coverage tracking using platforms such as Meltwater, MRP, and others as required.
- Draft media and coverage summaries and help prepare client reports.
- Support the set-up of client social accounts in business managers, including permissions and access requests.
- Schedule and publish organic social posts, with QA for links, formatting, and basic accessibility best practices.
- Assist with research, list-building, trackers, and other related tasks as needed.
Platforms and Tools
- Use Microsoft 365 daily, including Outlook, Teams, SharePoint, PowerPoint and Excel, and Copilot where appropriate.
- Our stack evolves. Tools may include Meltwater, MRP, Newswhip, Podchaser, Profound, Cision, BrightEdge, LexisNexis, Axios, Klear, Microsoft 365 and Copilot, and Google Workspace.
- You do not need experience with every tool listed. We will train you. What matters is your ability to learn quickly and keep work organized.
- Create and maintain Boolean libraries and saved searches; pull exports and snapshots on a set cadence.
What you'll bring
Qualifications
- Hands-on familiarity with AI tools such as ChatGPT or Gemini. You understand how to use them to improve your work, and you know when to verify outputs and cite sources.
- A college or university degree or post-secondary certificate in communications, public relations, marketing, media studies, journalism, or a related field, or equivalent work experience.
- Agency experience, internships, or co-op placements are an asset.
- Strong written and verbal communication skills, with comfort turning messy inputs into clear, structured outputs.
- Strong working proficiency in PowerPoint and Excel, including formatting, organizing information cleanly, and basic formulas and filters.
- Experience with media monitoring tools, social platforms, or business managers is an asset.
