As we continue to expand, we are adding a senior operational leader to elevate our service standards, strengthen staff development, and support the company's next stage of growth.
This is a high-impact role suited for an experienced General-Licensed Property Manager who excels in both operations and leadership, and is ready to work directly with ownership to help shape the future of the organization.
Role Overview:
The Senior Property Manager / Director of Property Management Operations will oversee the day-to-day performance of three property managers:
- One seasoned PM with nearly a decade of experience
- Two up-and-coming PMs with 3+ years of experience (limited licence holders) developing toward full licensing
- Supported by a junior administrator/PM assistant
In addition to leadership responsibilities, the Senior PM will personally manage a modest portfolio of approximately five sites (±225 units), including one major onsite account and a balanced selection of stable corporations.
This role reports directly to the CEO and CFO and is positioned as the senior operational authority within the company.
Key Responsibilities
Leadership & Team Oversight
- Provide daily leadership, mentorship, and oversight to a team of 3 PMs plus junior administrator
- Conduct regular check-ins, file reviews, and structured coaching sessions
- Standardize operating procedures and ensure PM team compliance
- Support PMs with escalated client matters and provide guidance on complex governance, financial, or operational issues
- Attend selected board meetings to ensure consistency and strengthen relationships
Operational Excellence
- Review and approve monthly management packages prior to distribution
- Oversee accuracy and timeliness of financial reporting, budgets, and annual planning
- Ensure portfolio-wide compliance with the Condominium Act, CMRAO requirements, and company SOPs
- Coordinate with the CFO and accounting team to support accurate financial statements and reserve planning
- Implement performance metrics, workflow improvements, and quality control initiatives
Portfolio Management (±5 Sites, ±225 Units)
- Serve as the primary property manager for a balanced portfolio of approximately five condominium corporations
- Provide onsite presence at key buildings as required
- Lead board meetings, AGMs, and budgeting cycles
- Prepare monthly operating reports, correspondence, and contract renewals
- Manage CAPEX coordination, tendering, and vendor management
Strategic & Executive Support
- Collaborate with the CEO and CFO on growth strategy, client onboarding, and service optimization
- Assist in integrating new clients, establishing operational standards, and managing transition plans
- Participate in business planning, service development, and long-range operational structure
Qualifications
- CMRAO General Licence (required)
- 5–10+ years of direct condominium management experience
- Strong leadership, coaching, and team-building capabilities
- Expertise in financial management, budget development, and condo governance
- Proven ability to handle complex sites and high-demand boards
- Excellent written and verbal communication skills
- Strong organizational discipline, prioritization, and problem-solving ability
- Solid proficiency in Microsoft Office (especially Word and Excel); experience with other spreadsheet and word-processing platforms is an asset
- Experience standardizing workflows or leading operations is an asset
Compensation
- Base Salary: $95,000–$115,000
- Full group benefits package
- Mileage and cellphone allowance
- Performance incentive / annual bonus based on team performance, client satisfaction, and operational KPIs
- Client Acquisition Bonus: candidates who bring existing clients with them will receive an additional compensation incentive based on the size and value of the corporation(s) brought to GIA (e.g., fixed signing bonus, short-term revenue share, or accelerated performance bonus, to be agreed individually)
