Overview
We are a growing law practice seeking a highly organized, detail-oriented Legal Assistant / Office Manager to support counsel across multiple practice areas. This role is ideal for a motivated individual seeking hands-on legal experience, professional mentorship, and exposure to litigation, client management, and law-office operations.
The successful candidate will play a central role in ensuring the smooth and efficient functioning of the office while supporting lawyers with legal research, drafting, document management, and client communications.
Job Description:
Administrative & Office Management
- Manage calendars, appointments, deadlines, and court dates
- Coordinate meetings, virtual appearances, and internal schedules
- Oversee general office operations, filing systems, and supply management
- Maintain confidentiality and professionalism at all times
Legal Support & Case Management
- Assist with legal research across practice areas including family law, criminal defence, immigration, civil litigation, landlord-tenant matters, and related areas
- Prepare, format, and proofread legal documents such as pleadings, affidavits, briefs, correspondence, and contracts
- Support case file organization and maintenance using electronic and physical filing systems
- Assist with document review, transcription, data entry, and exhibit preparation
Legal Research & Drafting
- Conduct research using Westlaw, LexisNexis, or similar legal databases
- Prepare research summaries, chronologies, and draft memoranda for counsel
- Assist with drafting correspondence and court-ready documents under supervision
Client & External Communications
- Handle client communications by phone and email with professionalism and discretion
- Coordinate with courts, opposing counsel, agencies, and third parties as required
- Assist with intake, scheduling, and follow-ups
Qualifications & Skills
- Prior experience in a law office, legal clinic, or legal support role (preferred but not mandatory for volunteer applicants)
- Familiarity with legal administrative procedures and court documentation
- Strong organizational skills with the ability to manage competing deadlines
- Excellent written and verbal communication skills
- Proficiency with or willingness to learn:
- Legal research platforms (Westlaw, LexisNexis)
- Practice management systems such as PCLaw, Clio, etc.
- Document management systems (e.g., iManage or equivalents)
- Strong attention to detail in drafting, proofreading, and document review
- Ability to work independently while collaborating effectively with counsel
- Professional judgment, discretion, and reliability
