Serendipity Soy Candles is a fast-growing Canadian candle and lifestyle brand with over 20 years of candle-making excellence. We're expanding our team at our Heathcote location and are looking for a dedicated, experienced Bookkeeper & Administrative Coordinator to support our operations, finance, payroll, HR paperwork, and administration.

Role Overview
The Bookkeeper & Administrative Coordinator is responsible for full-cycle bookkeeping, payroll, government remittances, and administrative support for daily business operations. This role is 100% in person at our Heathcote facility and works closely with our owner and management team.
Key Responsibilities: Bookkeeping & Accounting
- Full-cycle bookkeeping in QuickBooks Online (QBO)
- Daily entry of sales, deposits, supplier invoices, and expenses
- Bank, credit card, and loan reconciliations
- Manage A/P and A/R
- Maintain clean records for monthly reporting
- Assist external accountant with year-end preparation
Payroll & Government Filings
- Process bi-weekly payroll for hourly and salaried employees
- Track vacation, sick days, and time-off balances
- Prepare and submit payroll remittances
- File HST returns, T4s, and year-end payroll summaries
- Manage WSIB and other required filings
Administrative & HR Support
- Assist with onboarding documentation
- Maintain organized employee files
- Support benefits administration
- Manage forms, filing, and general office workflows
- Provide administrative support to owner and operations team
Process & Systems Support
- Help implement improved processes for organization and accuracy
- Assist with maintaining financial and HR procedures
- Communicate upcoming deadlines and cash-flow considerations
Qualifications
- Minimum 5 years bookkeeping experience
- Advanced proficiency in QuickBooks Online
- Experience with:
- Full-cycle bookkeeping
- Payroll processing
- CRA remittances & HST filings
- Year-end preparation for external accountants
- Strong working knowledge of Excel/Google Sheets
- Excellent organizational and communication skills
- Ability to handle confidential information with professionalism
- Strong accuracy and attention to detail
