As the Practicum and Administrative Assistant, you are responsible to support both the administrative operations and the coordination of practicum or fieldwork programs for colleges associated with Canadian Institutions (Eton College, Taylor Pro, Multihexa College)
This role is ideal for a detail-oriented individual who enjoys multitasking and engaging with students, faculty, and external partners to ensure smooth execution of academic and experiential learning components.
Key Responsibilities:
Practicum Support:
- Manage end-to-end practicum/placement processes for all assigned programs.
- Ensure students meet eligibility requirements (attendance, grades, documentation).
- Match students to appropriate practicum sites based on program needs and student goals.
- Prepare practicum agreements, MOUs, and required regulatory documents.
- Monitor attendance, performance, and completion of practicum hours.
- Assist in the coordination and scheduling of practicum placements.
- Communicate with students, faculty supervisors, and partner organizations regarding practicum logistics.
- Track practicum progress and maintain accurate student records.
- Support the collection and organization of required documentation (e.g., learning contracts, evaluations, reports).
- Help organize orientations, workshops, and related practicum events.
Administrative Support:
- Provide general administrative assistance to the department, including filing, data entry, and correspondence.
- Assist with scheduling meetings, preparing agendas, and taking minutes.
- Maintain organized records and databases related to student information and program logistics.
- Support day-to-day office operations and respond to inquiries in a professional and timely manner.
Minimum Qualifications
- Bachelor's degree in Business, Education, or related field.
- Minimum 1–2 years experience in student services, coordination, or related roles.
- Strong communication, relationship-building, and negotiation skills.
- Organized, proactive, and able to manage multiple deadlines.
- Familiar with CRM systems or student management systems (preferred).
- Ability to work independently with minimal supervision.
