Fleet Management Administrator

We're expanding our operations team and need a detail driven, adaptable professional who can manage fast-moving fleet operations with confidence. If you communicate clearly, stay steady when things get busy, and enjoy solving problems, you'll fit right in.

What You'll Do
Fleet and Driver Coordination

  • Upload driver reports into SiteDocs
  • Schedule equipment and vehicle inspections and confirm completion
  • Monitor GPS activity and support payroll with verification
  • Coordinate with the shop and schedule trucks through ConnectTeam
  • Manage driver scheduling in ConnectTeam
  • Assist with ICBC fleet insurance renewals
  • Support Metro Vancouver Diesel Emissions requirements
  • Keep NSC abstracts current and compliant
  • Assist with onboarding and driver document control
  • Support yard fuel pump processes
  • Ensure all inspections are completed on time
  • Schedule dump trucks for project work
  • Provide dispatch support when required

Administration, Reporting, and Office Support

  • Assist with running equipment cost reports
  • Maintain communication between the shop, office, field, and management
  • Provide general administrative support
  • Manage front desk operations and greet visitors professionally
  • Handle multi-line phone systems and route calls efficiently
  • Track office supplies, order materials, and maintain office equipment
  • ICBC Claims assistance & support to Operations team

Skills and Experience

  • Proficient with Microsoft Office (Word, Excel, Outlook) and Google Workspace
  • Clear, confident communication skills, including proper phone etiquette and bilingual ability when applicable
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Quick to learn new systems such as SiteDocs, Sage, ConnectTeam, and GPS platforms
  • Experience with clerical tasks such as proofreading, data entry, filing, and document control
  • Calm under pressure, adaptable, and solutions focused

Pay and Growth

We reward performance, not promises.

  • Starting: $28 to $30 per hour
  • Growth Path: Move to $30 to $35 per hour in 6 to 12 months based on accuracy, initiative, and the ability to manage fleet operations confidently
  • Annual review with performance-based increases
  • Expanded responsibilities as you show what you can handle

Job Type: Full-time

Pay: $28.00-$30.00 per hour

Expected hours: 45 – 50 per week
